Full-Time | Growth Path to Practice Management
A growing outpatient behavioral health practice in Flint, Michigan is seeking a highly motivated Medical Assistant to join our team.
This is not a traditional Medical Assistant role focused only on vitals, rooming patients, and clinical tasks.
We are looking for someone who wants to own the patient experience, develop strong operational skills, and grow with the practice. This person will work across patient engagement, front-office operations, clinical workflows, TMS and Spravato services, and day-to-day practice operations.
For the right individual, this position offers a clear pathway toward practice management and broader healthcare operations leadership.
You will also have the opportunity to work directly with the practice founder and the organization's operator, gaining exposure to how a growing healthcare practice is managed and scaled.
What You'll Own Patient Experience & Client Engagement
You will be one of the primary points of contact for our patients and play an important role in creating a positive experience from the first interaction through ongoing treatment.
Responsibilities include:
- Welcome and engage patients throughout their experience with the practice
- Communicate professionally and compassionately with patients in person, by phone, text, and electronically
- Help patients understand next steps in their care
- Follow up with patients regarding appointments, treatment schedules, required documentation, and outstanding items
- Help reduce missed appointments through proactive communication and follow-up
- Identify patient concerns and escalate issues appropriately
- Re-engage patients who have missed appointments or fallen out of treatment
- Support prospective patients as they move from initial inquiry to scheduled appointment
- Help ensure that patients do not get lost between referral, scheduling, authorization, and treatment
This role requires someone who genuinely enjoys interacting with people and understands that patient engagement is an active responsibility, not simply answering the phone.
Check-In & Check-Out
You will help manage the daily flow of the practice, including:
- Patient check-in and check-out
- Confirming demographic and insurance information
- Collecting required forms and documentation
- Scheduling follow-up appointments
- Communicating patient balances and collecting payments when appropriate
- Ensuring patients understand their next appointment and treatment plan
- Managing provider schedules and identifying scheduling issues
- Helping maintain efficient patient flow throughout the clinic
- Monitoring cancellations, no-shows, and open appointment slots
Medical Assistant Responsibilities
Clinical responsibilities may include:
- Obtaining and documenting vital signs
- Preparing patients for provider visits
- Reviewing and updating medication lists and relevant patient information
- Supporting providers during the patient visit as appropriate
- Assisting with clinical documentation and coordination
- Maintaining treatment rooms and clinical supplies
- Supporting medication and treatment workflows
- Communicating with pharmacies and other healthcare organizations as directed
- Supporting prior authorization and clinical administrative processes
- Following established clinical, safety, and compliance procedures
TMS Patient Management
This position will play an important role in supporting the practice's Transcranial Magnetic Stimulation (TMS) program.
Responsibilities may include:
- Coordinate TMS patient schedules and treatment visits
- Prepare patients for treatment
- Support treatment delivery according to established protocols and within the individual's training and scope
- Maintain accurate treatment documentation
- Monitor patient attendance and treatment adherence
- Proactively contact patients who miss or reschedule treatments
- Communicate treatment concerns to the appropriate clinical provider
- Help patients understand the treatment process and what to expect throughout their course of care
- Coordinate with clinical and administrative staff to keep patients moving through the full treatment pathway
Consistency is critical in TMS treatment, so this person will be expected to actively manage the patient schedule rather than simply react to appointments.
Spravato Patient Workflow
The Medical Assistant / Patient Experience Coordinator will also support patients receiving Spravato treatment.
Responsibilities may include:
- Coordinate Spravato treatment schedules
- Confirm patient appointments and required pre-treatment instructions
- Prepare treatment areas prior to patient arrival
- Complete required pre-treatment workflow and documentation
- Obtain and document vital signs as required
- Assist the treating provider throughout the treatment workflow
- Support required patient observation and monitoring processes
- Ensure treatment documentation is completed accurately
- Coordinate follow-up treatment appointments
- Help maintain an efficient workflow across multiple treatment patients
- Escalate clinical concerns immediately to the appropriate licensed provider
- Support medication inventory, documentation, and operational processes in accordance with practice policies and applicable requirements
All clinical activities will be performed within the individual's training, scope of practice, and established practice protocols.

Behavioral health experience is helpful but not required for the right candidate.
Medical Assistant certification is preferred where applicable.
