Full Job Description

Contracts Administrator (Construction)

Position Summary

The Contracts Administrator is responsible for managing and administering contracts for construction projects throughout the contract lifecycle. This role supports project managers, estimating teams, procurement personnel, and executive leadership by ensuring contracts, subcontracts, purchase orders, and change orders are accurately prepared, executed, and maintained. The Contracts Administrator helps minimize risk, ensure compliance with contractual obligations, and facilitate successful project delivery.

Key Responsibilities

Review, and administer construction contracts, subcontracts, purchase orders, and consultant agreements.
Coordinate contract execution with clients, subcontractors, vendors, suppliers, and project stakeholders.
Maintain contract files and project documentation to ensure accurate recordkeeping and compliance.
Track contract milestones, insurance requirements, bonds, certifications, lien releases, and project closeout documentation.
Review contract terms and conditions to identify risks, obligations, and compliance requirements.
Assist project managers with contract interpretation, administration, and issue resolution.
Monitor project compliance with contractual requirements, company policies, and regulatory standards.
Prepare and process change orders, amendments, contract modifications, and claims documentation.
Support bid preparation activities by reviewing contract requirements and proposal documentation.
Coordinate with accounting and project teams regarding billing requirements, payment applications, retainage, and contract values.
Ensure subcontractor agreements include appropriate insurance, licensing, safety, and compliance requirements.
Track subcontractor performance, contract deliverables, and project deadlines.
Assist with dispute resolution, claims management, and correspondence related to contract matters.
Participate in project startup and closeout activities to verify all contractual requirements have been satisfied.
Generate reports regarding contract status, project commitments, subcontract values, and compliance activities.

Required Qualifications

3+ years of experience administering contracts in the construction industry.
Strong understanding of construction contracts, subcontract agreements, purchase orders, and project documentation.
Knowledge of construction terminology, project delivery methods, and contract administration principles.
Experience reviewing plans, specifications, scopes of work, and construction documents.
Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
Strong organizational, communication, and document management skills.
Ability to manage multiple projects and deadlines in a fast-paced environment.

Preferred Qualifications

Experience with commercial, industrial, civil, or government construction projects.
Familiarity with AIA, ConsensusDocs, or other standard construction contract forms.
Experience using construction management software such as Procore and ERP Foundation.
Knowledge of construction lien laws, bonding requirements, and insurance requirements.

Director of Operations, Contracts Manager, Project Executive, Chief Financial Officer, or other designated leadership position.

Pay: $22.00 - $28.00 per hour

Expected hours: 40.0 per week
