Job Summary:
The CRM Database Administrator, reporting to the SVP of Investor Relations, serves as the Florida Chamber's foremost technical authority and strategic leader for the PROTECH CRM platform. This role is responsible for enterprise-wide CRM governance, data integrity, system optimization, and user enablement — driving measurable impact on member engagement, retention, and revenue growth.
You will be instrumental in how the Florida Chamber drives revenue through CRM oversight, development, strategic data governance, and enterprise-wide training — ensuring our members and team experience the highest standard of CRM utilization in support of the Florida 2030 Blueprint.

Responsible for providing CRM/database management and administration that supports enterprise goals.
PROTECH CRM System Ownership & Data Integrity
- Serve as the primary PROTECH CRM SME and enterprise system owner for the organization
- Lead PROTECH CRM system configuration, module management, and version/update coordination directly with the vendor
- Develop and enforce a data governance framework specific to PROTECH CRM architecture
- Perform ongoing data clean-ups to maintain the highest level of database integrity
- Conduct annual system health audits with documented findings and remediation plans
- Coordinate data entry and email bounce-back clean-up projects
- Manage and escalate support tickets submitted by FCC Enterprise to PROTECH with measurable resolution timelines
- Lead structured communication between PROTECH vendor and Chamber team
- Facilitate regular department meetings to improve CRM processes and efficiency
CRM Strategy, Documentation & SOPs
- Develop and maintain a comprehensive PROTECH User Guide and SOP for enterprise-wide consistent use
- Establish role-tiered user guides for basic users, power users, and administrators
- Develop a PROTECH internal certification and competency framework
- Define PROTECH-specific workflows, field definitions, module navigation, and role-based access procedures
- Maintain a living CRM knowledge base including a PROTECH data dictionary, change log, and audit trail
- Maintain table and record coding standards for consistent data entry and reliable reporting, queries, and marketing use
Training, Proficiency & User Enablement
- Build and lead a formal PROTECH onboarding curriculum with measurable competency benchmarks
- Verify new team members complete database training videos within two weeks of start date
- Ensure new team members complete a database proficiency assessment within 60 days of start date
- Lead a tiered support model, serving as the escalation point for all complex CRM-related challenges
- Develop and maintain training materials including position-specific procedures and a monthly "Tip of the Month" resource
- Host quarterly Lunch & Learn sessions and ongoing enterprise learning opportunities
- Develop a CRM adoption scorecard reported quarterly to senior leadership
- Create a Power User/Champion Program to embed CRM expertise across all departments
- Partner with HR to integrate PROTECH proficiency standards into enterprise job descriptions
- Track and report on user engagement, login activity, and CRM usage; escalate non-compliance to HR as appropriate
Reporting & Data Analysis
- Create, modify, and deliver CRM reports and data queries to meet enterprise and leadership needs
- Deliver executive-level reporting on CRM health, user adoption, and ROI
- Design and execute performance benchmarking protocols to assess and improve CRM effectiveness
- Provide engagement tracking and measurement support across the organization
List & Data Management
- Maintain and update all CRM lists including initiatives, committees, and interest topics, ensuring accuracy and designated ownership
- Oversee duplicate record consolidation, data clean-up projects, and code maintenance (interest, revenue, region, etc.)
- Assist Marketing and Membership in building processes for committees and interest lists utilized enterprise-wide
- Train staff on list creation, filter processes, and segmentation
Monitoring, Security & Troubleshooting
- Maintain database security and coordinate user access permissions
- Provide on-demand troubleshooting and manage internal support tickets
- Collaborate with Aegis (contracted IT partner) and vendor support to resolve performance and connectivity issues
Continuous Improvement & Professional Development
- Drive a continuous improvement roadmap with quarterly milestones aligned to enterprise revenue and engagement goals
- Participate in PROTECH-hosted training events, conferences, and system update sessions
- Identify and implement process improvements annually to enhance CRM efficiency and adoption
Other Duties
- Support enterprise event registration, reporting, and compliance with organizational standards
- Perform additional duties as assigned
Communication and Writing:
· Utilize strong communication and writing skills to effectively communicate with staff, members and to create/maintain CRM process documentation.
· Demonstrate relationship-building experience to foster meaningful connections with members and to identify member needs for database reliability.
Qualifications
· 3–5+ years of hands-on Protech CRM experience is preferred; association management or chamber of commerce environment preferred
· Demonstrated expertise in PROTECH modules including membership, events, committees, marketing/communications, and reporting/queries
· Proven experience managing CRM data clean-ups, system configurations, and vendor relationships
· Experience developing and maintaining SOPs, user guides, and training materials
· Experience submitting and managing CRM support cases
· Strong understanding of relational database concepts as applied within PROTECH
· Proficiency in CRM reporting tools, list management, and query building
· Advanced proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint
· Excellent written and verbal communication skills with the ability to translate technical concepts to non-technical audiences
· Strong organizational, analytical, and project management skills
· Demonstrated ability to build and sustain cross-functional working relationships
· High attention to detail and a commitment to data accuracy and integrity
