Full Job Description

Help bring some of Florida dentistry's biggest events to life.

If you’re the person who loves a good checklist, catches the typo everyone else missed, keeps ten moving pieces organized and gets a little thrill from watching months of planning come together onsite—keep reading.

The Florida Dental Association (FDA) is looking for an organized, detail-driven and proactive Program Coordinator to join our Conventions & Continuing Education team.

This isn't a position where every day looks the same. You'll help coordinate speakers, education programs and event logistics for meetings ranging from smaller regional programs to the Florida Dental Convention, one of the largest state dental meetings in the country.

We’re looking for someone who takes ownership of their work, communicates well, pays attention to the details and understands that in the events world, deadlines matter.

WHAT YOU'LL DO

You'll work closely with the Conventions & CE team to help keep our education programs and events moving from planning through execution, including:

Coordinate and contract speakers for conferences and continuing education programs. This includes multiple years at one time.
Communicate directly with speakers regarding contracts, honorariums, travel, audiovisual needs, handouts and program requirements.
Help coordinate program schedules, workshops and other event logistics.
Prepare correspondence, reports and other event-related materials.
Maintain accurate program records, files and documentation.
Respond to questions from speakers, attendees, members and other event stakeholders.
Assist with onsite execution of meetings and events.
Jump in where needed when deadlines are approaching and the team is working toward the finish line.

WHAT WE'RE LOOKING FOR

A bachelor's degree or equivalent combination of education and relevant experience is preferred. Experience in meeting planning, events, associations, continuing education or a related environment is a plus.

You'll also need:

Strong written and verbal communication skills.
Excellent organizational and time-management skills.
Strong attention to detail and proofreading skills.
Confidence working with Microsoft Office, particularly Word and Excel.
The ability to learn new technology and systems quickly.
The ability to work independently while also being an engaged member of a collaborative team.
Sound judgment and the ability to recognize when something needs attention before it becomes a problem.
Availability for occasional travel and extended hours associated with meetings and events.
Meeting or association credentials, such as CMP or CAE, are welcome but not required.
