Indian River Transport, one of the nation’s premier liquid food-grade tank carriers, is seeking an experienced Accounts Receivable / Billing Specialist to join our corporate team in Winter Haven, Florida. Position Summary
The Accounts Receivable (AR) / Billing Specialist is responsible for timely and accurate invoicing, collections, payment application, and account reconciliation. This role works closely with dispatch, operations, brokers, shippers, and customers to ensure loads are billed correctly, payments are collected promptly, and customer accounts remain current. Common AR responsibilities include invoicing, payment tracking, customer collections, reconciliation, and reporting.
Essential Duties and Responsibilities
Billing & Invoicing
- Review completed loads and supporting documentation (Bills of Lading, Proofs of Delivery, rate confirmations, detention and accessorial charges).
- Generate accurate customer invoices based on contractual rates and transportation agreements.
- Verify load information, fuel surcharges, detention fees, lumper fees, and other accessorial charges before billing.
- Submit invoices through customer portals, EDI systems, email, or transportation management systems.
- Resolve billing discrepancies and customer billing inquiries.
Accounts Receivable Management
- Monitor customer accounts and aging reports.
- Apply customer payments and reconcile accounts.
- Research and resolve short payments, deductions, and disputed invoices.
- Maintain accurate AR records and customer account information.
- Prepare weekly and monthly AR reports for management.
Collections
- Conduct collection activities on past-due accounts.
- Contact customers regarding overdue invoices and negotiate payment arrangements when necessary.
- Escalate delinquent accounts according to company policy.
- Maintain positive customer relationships while ensuring timely payment collection.
Reconciliation & Reporting
- Reconcile customer accounts and cash receipts.
- Investigate payment discrepancies and billing errors.
- Assist with month-end closing activities and audit requests.
- Generate aging reports, collection summaries, and revenue reports.
QualificationsRequired
- High school diploma or GED.
- 2+ years of Accounts Receivable, Billing, or Collections experience.
- Experience within trucking, transportation, logistics, freight brokerage, or supply chain preferred.
- Proficiency with Microsoft Excel and accounting software.
- Strong organizational, analytical, and problem-solving skills.
- Excellent customer service and communication abilities.
Preferred
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field.
- Experience with transportation management systems preferred
- Knowledge of freight billing, accessorial charges, and transportation documentation.
