Full Job Description

Job Overview

We are seeking a warm, proactive, dependable and detail-oriented Part-Time Remote Practice Administrative Coordinator to join our psychology team. This role offers an exciting opportunity to support clinical operations and enhance patient experiences from a remote setting.

As a vital member of our practice, you will manage scheduling, handle internal communications, and ensure smooth administrative workflows. Your energetic approach and strong organizational skills will contribute to delivering exceptional care coordination and operational efficiency. This could be a great fit for someone looking for a small, predictable part-time role during daytime/school hours or someone who already provides administrative support to another private practice.

Responsibilities

Return phone calls and respond to routine inquiries from prospective and current patients
Provide warm, helpful information about practice services and the process for getting started
Schedule and reschedule appointments and consultation calls
Explain practice fees and the out-of-network insurance/reimbursement process using established practice guidelines and scripts
Answer routine billing questions and route more complex questions to the appropriate clinician
Send intake paperwork and follow up on outstanding administrative items
Maintain accurate patient and scheduling information in the practice's electronic health record
Order marketing materials and assist with occasional administrative or marketing projects
Help maintain organized systems for tracking inquiries, referrals, and follow-up tasks

Requirements

Warm, professional, and comfortable communicating with patients and families by phone and email
Highly organized, dependable, and attentive to detail
An excellent written and verbal communicator
Comfortable learning and following established practice procedures
Able to work independently and recognize when a question needs to be routed to a clinician
Comfortable using online scheduling, email, and electronic health record systems
Able to maintain strict confidentiality and comply with HIPAA requirements
Demonstrated ability to work independently in a remote environment with reliable internet access

Experience working in a mental health, psychology, medical, or other healthcare private practice is strongly preferred, but not required. Experience with SimplePractice is a plus, but also not required.

Schedule & Compensation:

Approximately 10 hours per week (or more if desired)
Ideally 2 consistent hours Monday–Friday
Hybrid or potential for fully-remote
$18–$22/hour, depending on experience

We are especially interested in finding someone who enjoys being the friendly, helpful first point of contact for families and who is looking for a consistent, long-term part-time role with a small practice.
