Full Job Description

Position Overview

We are seeking a highly organized, professional, and people-focused Human Resources & People Culture Coordinator to support both the day-to-day Human Resources functions of our skilled nursing facility and the overall experience of everyone who enters our community.

This role will be responsible for supporting employee onboarding, personnel files, recruitment, payroll processing, workers’ compensation, FMLA administration, attendance tracking, employee relations, compliance documentation, and staff communication. The position requires someone who is exceptionally organized, detail-oriented, dependable, and able to manage multiple priorities while ensuring Human Resources processes are completed accurately and timely.

The People & Culture component of the role extends beyond employees and includes residents, families, vendors, visitors, and guests. This individual will help promote a welcoming, professional, and positive environment through strong communication, customer service, hospitality, employee engagement, professionalism, and relationship-building throughout the facility.

Skills & Requirements

Highly organized with exceptional attention to detail
Experience with payroll processing and payroll-related documentation
Knowledge of workers’ compensation processes, reporting, and follow-up
Knowledge of FMLA administration, tracking, and required documentation
Strong understanding of employee onboarding and personnel file management
Ability to maintain confidential and sensitive employee information

Ability to work closely with facility leadership and department managers
Previous Human Resources experience in healthcare, skilled nursing, long-term care, or preferred a similar setting

Basic Qualifications

Education & Certification:

Bachelor's Degree

Experience:

Minimum of one year experience in a health care setting with data entry, bookkeeping and HR experience preferred.

Working Conditions

Primarily works in an office setting and throughout the facility; bends, lifts, sits, stands and moves frequently throughout the shift; deals with frequent interruptions and possibly upset employees; works regularly scheduled shifts with possible weekends, holidays and other hours based on resident needs; primary responsibility is service to the residents but also deals with visitors, government personnel, etc.; participates in required continuing education programs; subject to odors, falls, burns and exposure to infectious diseases, waste, etc., including AIDS and Hepatitis B viruses.

Safety Awareness: Follows safety program guidelines; immediately reports accidents and incidents to supervisors; identifies unsafe working areas and promptly reports to supervisors; promotes safety by working as safely and efficiently as possible; consistently follows infection control and universal precautions and other guidelines; identifies and corrects or reports hazardous conditions to supervisors; understands facility emergency and evacuation protocols.

Customer Service: Treats all customers (including employees) with dignity and respect and takes initiative to exceed customer expectations; professionally represents the facility, self and position to visitors and residents; demonstrates a positive attitude and willingness to help to all customers; remains sensitive to all needs through listening, observing and responding appropriately for the position held.

Essential Job Duties

1. Manages all personnel – related issues within the facility.

2. Oversees all aspects of the employee recruitment process, including receiving and maintaining employment applications and related documents for all facility positions.

3. Directs the new hire and orientation process for all new employees, including the completion of all new hire forms.

4. Leads payroll procedures, including processing payroll records for all employees and distributing payroll checks on pay day.

5. Handles and manages implementation of the facility’s employee benefit programs, including benefit and 401(k) enrollments for eligible employees in a timely and accurate manner.

6. Oversees the maintenance of OSHA logs and workers’ compensation claims/files.

7. Monitors and addresses accounts payable matters, including responsibility for recording all Accounts Payable transactions timely and accurately.

8. Prepares payroll tax deposits and maintains W-4 records for employees.

9. Creates, organizes and maintains personnel and other employee files.

10. Leads any necessary internal investigations relating to employee matters

11. Manages all employee evaluation and disciplinary matters within the facility, including annual performance reviews and employee counseling.

12. Addresses any employee disputes and/or complaints, including formulating an effective response and resolution.

13. Manages all worker’s compensation and unemployment compensation claims.

Other Duties

1. Monitors time and attendance records and performs time edits in the payroll system as needed.

2. Reconciles vendor invoices and statements as well as payroll records.

3. Prepares quarterly payroll reports.

4. Works with employees to answer any questions related to payroll, insurance or related area.

5. Provides guidance to department managers regarding human resource-related questions.

6. Initiates new employee set up into the time clock system.

7. Reviews invoices for accuracy.

8. Manage the payroll system, including the input new hires and terminations into the payroll system.

9. Coordinates meetings with staff regarding topics such as insurance, 401 (k), etc.

10. Makes necessary changes for W-4, change in department, direct deposit, etc.
