Full Job Description

Job Overview:

Immediate opening for a legal administrative assistant in a well-established civil defense firm with a centrally-located office in Jackson. The firm has 6 attorneys and 1 paralegal, and requires assistance with clerical and general office duties.

The position is full-time, working in the office 5 days a week, 9:00 a.m. to 4:30 p.m., with no remote work options.
The annual salary range for this position is $40,000 to $50,000 and is based on experience and skillset. There is opportunity for advancement to a paralegal position within the firm.
Experience required: Word, Excel, Adobe, Outlook email, Outlook calendar and Adobe Acrobat.
Notary Public Commission desired but not required.
Minimum 1-year law firm experience.

Duties Include:

Answering the main phone line.
Accepting deliveries and coordinating outgoing shipments.
Checking the mail daily and scanning incoming mail to the attorney(s)/paralegal.
Distributing incoming faxes.
Maintaining inventory of office supplies.
Running errands as needed – post office, courthouse, etc.
Printing documents and creating 3-ring binders for attorneys.
Preparing attorney expense reimbursements for submission to bookkeeping.
Entering file-related expenses into the TimeSlips system;
Managing/organizing legal documents, case files, and correspondence.
Assisting with tracking deadlines and case timelines efficiently using Outlook calendar.
Processing incoming e-filing confirmation emails from the court with links to pleadings, downloading and saving to the appropriate file.
Other duties as assigned, taking on increasing responsibility in alignment with professional development.

Qualifications:

Excellent organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat, along with document processing skills such as proofreading and transcription.
Effective client communication skills combined with professional phone etiquette; ability to handle confidential information discreetly.
Strong clerical experience including filing, data entry, document review, and general administrative support within a law office setting.

Pay: $45,000.00 - $55,000.00 per year
