Full Job Description

An established service company is seeking a highly organized, personable, and dependable Customer Service & Operations Coordinator to become a key member of our team.

This position is ideal for someone who enjoys working with customers, solving problems, keeping things organized, and taking ownership of getting things done. We are looking for someone who can become a trusted point of contact for our customers and help keep the day-to-day administrative operations of the business running smoothly.

This is a hybrid position combining remote work with periodic in-person responsibilities in the Louisville area.

Due to the confidential nature of this search, additional information about the company will be shared during the interview process.

What You'll Do: Customer Service & Client Relationships

Serve as a primary point of contact for customers.
Answer incoming phone calls and respond to customer emails.
Build strong, long-term relationships with existing customers.
Help customers with questions, service requests, account changes, and other needs.
Proactively follow up with customers to ensure they are satisfied with our services.
Coordinate customer requests with other members of the team.
Identify customer concerns and help resolve problems quickly and professionally.

Accounts Receivable & Payable

Prepare and send customer invoices.
Track outstanding accounts and follow up professionally on past-due invoices.
Receive and record customer payments.
Process vendor invoices and organize bills for payment.
Prepare and print checks as needed.
Maintain accurate financial and administrative records.
Coordinate with the company's outsourced bookkeeping and accounting professionals.

Operations & Administrative Support

Help coordinate schedules and communication with field employees.
Maintain organized customer, vendor, and operational records.
Assist with CRM and business management systems.
Handle incoming mail and other administrative responsibilities.
Help develop and improve processes as the company grows.
Assist company leadership with special projects and day-to-day business needs.

Previous experience in customer service, office administration, accounts receivable, accounts payable, bookkeeping support, hospitality, retail leadership, or team supervision is helpful but not required.

Work Environment

This is a hybrid position. Most administrative work may be performed remotely, but candidates must live in the Louisville area and be available for periodic in-person meetings and business responsibilities.

The position offers a combination of independence, flexibility, and the opportunity to work closely with company leadership.
