Full Job Description

Basic Function:

The Accounting & Administrative Associate is employed by Sul4r-Plus and assigned primarily to support CEP Holdings, Inc., a family office. The position assists the Executive Assistant with accounting, month-end close preparation, and general office administration. As capacity allows, the position also provides administrative support to Sul4r-Plus's Human Resources department, primarily in recruiting, interview scheduling, and employee onboarding. CEP Holdings responsibilities are the priority of the role.

Because this position will handle sensitive family and business matters, the associate must exercise exceptional discretion, sound judgment, and confidentiality at all times, including when working with family income, expenses, banking activity, vendor information, and other private records.

Specific Duties and Responsibilities:

Position may involve performing other duties as required, which may not be mentioned below. Responsibilities may change from time to time based on business needs and available capacity.

CEP Holdings Accounting Support

· Review, track, and properly code invoices; process electronic and check payments in accordance with established approval procedures.

· Monitor credit card transactions, obtain and organize supporting documentation, code expenses, and assist with monthly credit card reconciliations.

· Monitor cash balances across multiple operating accounts.

· Compile a weekly summary of bank balances and transactional activity and run supporting reports.

· Assist with month-end close preparation, including gathering and organizing documentation, preparing account schedules, and supporting reconciliations.

· Assist with monthly bank reconciliations for operating accounts.

· Coordinate accounting information and follow-up items with the outside accounting firm.

· Maintain accurate vendor records and assist with vendor setup and ongoing vendor management.

· As trained and assigned, assist with monthly invoicing and receivables, account transfers, and journal-entry support.

· Maintain complete, organized, and accurate electronic and paper accounting records.

Office and Administrative Support

· Take inventory of, order, and organize office and kitchen supplies.

· Order and set up daily office lunches as requested.

· Sort and distribute incoming mail and coordinate outgoing mail, packages, shipping, etc.

· Answer and direct calls, welcome visitors, and provide professional reception support.

· Maintain conference rooms and common areas so they are organized and ready for meetings and guests.

· Coordinate office vendors, equipment needs, and facility maintenance requests.

· Provide general administrative, filing, data-entry, document-preparation, and project support to the Executive Assistant as assigned.

· Assist with maintaining employee records, completing benefit forms, and preparing employment verification letters.

· Coordinate employee recognition activities.

· Provide other administrative and project support to Human Resources as assigned.

Sul4r-Plus Recruiting & Onboarding Coordination

· Schedule interviews and coordinate candidate logistics or travel when needed.

· Prepare interview materials and maintain applicant-tracking records.

· Initiate or coordinate background checks and drug screens at the direction of Human Resources.

· Coordinate with Human Resources and Payroll to ensure required new-hire documentation is completed within established timeframes.

· Prepare and organize new-hire paperwork and onboarding materials.

· Coordinate onboarding logistics, including orientation scheduling, equipment and access needs, and name badges.

Minimum Education/Experience Requirements:

· High school diploma required; Associate degree or coursework in accounting, bookkeeping, business administration, or a related field preferred.

· Two to four years of administrative, bookkeeping, accounts-payable, or office-management experience preferred.

· Experience with Microsoft Office, particularly Excel, Word, and Outlook.

· Experience with BILL and Sage Intacct preferred but not required; training will be provided.

· Experience with ADP Workforce Now or another HR information system is a plus.

Mental/Physical Demands:

· Prolonged periods of sitting and working at a computer.

· Occasional lifting of files or office materials up to 15 lbs.

· Primarily office environment with regular interaction with executives, family members, employees, candidates, vendors and guests.
