POSITION DESCRIPTION: Program Coordinator

TITLE: Program Coordinator
DEPARTMENT: Programs
REPORTS TO: Unit Director
FLSA STATUS: Exempt

PRIMARY FUNCTION

The Program Coordinator is responsible for planning, implementing, and supervising a comprehensive range of youth development programs within the core areas of Academic Success, Healthy Lifestyles, and Character & Citizenship. This role ensures high-quality program delivery, maintains a safe and welcoming environment, and provides leadership to part-time, seasonal, and teen staff. The Program Coordinator plays a key role in creating meaningful experiences that support the growth, safety, and success of all members.

KEY ROLES (Essential Job Responsibilities)

Prepare Youth for Success

Build positive, supportive relationships with youth to create a safe, inclusive, and engaging environment.
Provide guidance, mentorship, and behavior support to members, including addressing conflicts, reinforcing expectations, and helping youth develop problem-solving and decision-making skills.
Respond to behavioral challenges in a consistent, respectful, and developmentally appropriate manner.
Serve as a positive role model, promoting respect, responsibility, and teamwork.
Communicate with families regarding member progress, behavior, and overall experience.
Connect families with appropriate internal and external resources to support youth success when needed.
Ensure the safety and well-being of all members through active supervision and engagement.

Program Development & Implementation

Plan, implement, and oversee engaging programs aligned with Academic Success, Healthy Lifestyles, and Character & Citizenship.
Develop program schedules, lesson plans, and activities that reflect member interests and developmental needs.
Establish program objectives consistent with organizational goals and mission.
Ensure daily program operations run effectively and meet established standards.
Encourage participation across program areas and provide instruction and skill-building opportunities.
Continuously evaluate program quality and adapt offerings to meet the diverse needs of members.
Manage program budgets and monitor expenditures in alignment with approved guidelines.
Support outreach efforts to recruit and retain Club members, including promoting programs and building relationships with families, schools, and community partners.

Staff & Volunteer Supervision

Supervise part-time staff, seasonal employees, and teen staff, including assigning responsibilities, setting expectations, and ensuring accountability.
Provide ongoing coaching, mentorship, and performance feedback to support staff effectiveness and growth.
Assist in onboarding and training staff, with a focus on youth engagement, behavior management, and safety practices.
Foster a collaborative, inclusive, and professional team environment.

Operations, Safety & Facility Care

Maintain clean, safe, and organized program spaces on a daily basis.
Lead and support routine cleaning and general facility upkeep, including organizing supplies and maintaining equipment.
Model and enforce expectations for cleanliness, safety, and respect for shared spaces among staff and members.
Ensure program areas are well-maintained and that equipment is in good working condition.
Maintain accurate records, including attendance, program data, incident reports, and notable outcomes.

ADDITIONAL RESPONSIBILITIES

Support and/or lead special events, field trips, and seasonal programming.
Collaborate with team members to ensure smooth daily operations.
Build and maintain relationships with community partners, schools, and stakeholders.

RELATIONSHIPS

Internal:
Maintain consistent communication with staff, volunteers, members, and leadership to support strong program delivery and team alignment.

External:
Develop and maintain relationships with families, schools, and community partners to support youth outcomes, program growth, and member recruitment.

SKILLS/KNOWLEDGE REQUIRED

Bachelor’s degree in a related field or equivalent experience.
Minimum of two years of experience working with youth in a structured setting.
Ability to manage multiple priorities in a fast-paced environment.
CPR and First Aid Certification (or willingness to obtain; training provided).
Driver's License and Insurance or Willingness to obtain
Strong communication, leadership, and organizational skills.
Experience supervising staff, including part-time or teen employees, preferred.
Experience with behavior management and conflict resolution strongly preferred.

WORK SCHEDULE

School Year: Typically 11:30 AM – 7:30 PM
Summer: Typically 9:00 AM – 5:00 PM
Schedule may vary based on program needs.

COMPENSATION & BENEFITS

Salary: Starting at $34,000 per year
