Job Overview:

Werner Harmsen is a family-owned Wisconsin company serving the Waupun community since 1971. Today, our company includes furniture, flooring, kitchen and bath design, remodeling and construction, and funeral services. While our businesses are diverse, they share a common commitment to quality, exceptional customer service, and treating people with care and respect.

Werner Harmsen is looking for a highly organized, professional, and dependable Executive Assistant to support our leadership team and help keep our office running smoothly. This person is often the first impression our customers have of our company, so a positive attitude, excellent communication skills, and attention to detail are essential.

The Executive Assistant will manage the front office, assist with administrative tasks, keep the office organized, and provide support to multiple departments across the company. We are looking for someone who enjoys keeping things organized, takes pride in helping others, and notices the little things that make a big difference. The ideal candidate is proactive, dependable, comfortable wearing many hats, and always looking for ways to make the office run more efficiently.

Responsibilities:

Answer and direct incoming phone calls professionally and courteously.
Greet customers, vendors, and visitors with a friendly and welcoming attitude.
Organize and distribute incoming mail and packages.
Prepare outgoing mail and shipments.
Keep the reception area, conference rooms, and office organized and presentable.
Make coffee and ensure refreshments are available for staff and guests.
Maintain office supplies and reorder items as needed.
Organize and maintain electronic and paper filing systems.
Manage and organize executive emails, calendars, and important documents.
Prepare professional letters, contracts, reports, forms, and other business documents using Microsoft Word.
Proofread documents for spelling, grammar, and formatting before distribution.
Assist with scheduling meetings, appointments, and company events.
Support executives with special projects and administrative tasks.
Coordinate communication between departments when needed.
Maintain confidentiality with employee, customer, and company information.
Assist with data entry and record keeping.
Help ensure the office operates efficiently by identifying areas for improvement and taking initiative to solve problems.
Perform other administrative and office duties as assigned.

Required Qualifications:

Proficient in Microsoft Word; working knowledge of Microsoft Excel and Outlook.
Excellent written and verbal communication skills.
Strong proofreading skills with excellent attention to detail and accuracy.
Strong organizational and time management skills.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
Ability to work independently, use good judgment, and take initiative when direction is limited.
Professional and customer-focused approach when interacting with customers, vendors, employees, and leadership.
Ability to handle confidential information with discretion and professionalism.
Strong follow-through and ability to take ownership of assigned responsibilities.
Positive attitude and willingness to assist wherever needed.

Preferred Qualifications:

Previous administrative, executive assistant, office management, or similar experience.
Experience managing calendars, scheduling meetings, and coordinating appointments.
Experience preparing professional business correspondence, reports, forms, or other documents.
Experience working in a customer-facing office environment.

Compensation:

Starting salary is $18.00/ hour but negotiable based on experience level.
