Full Job Description

Overview

Dempsey Law Firm LLP is seeking a full-time Probate Paralegal / Legal Assistant to join our Fond du Lac or Oshkosh office. This position combines legal assistant and paralegal responsibilities, providing both administrative and substantive support to attorneys handling probate and trust administration matters.

The ideal candidate is organized, detail-oriented, dependable, and able to manage multiple priorities while maintaining a high level of professionalism and client service.

Probate & Trust Administration Responsibilities

Assist attorneys with probate and trust administration matters from opening through closing.
Prepare probate petitions, inventories, accountings, affidavits, and other court filings.
Gather and organize information regarding estate assets, liabilities, beneficiaries, and distributions.
Communicate with clients, personal representatives, beneficiaries, financial institutions, courts, and other third parties.
Maintain probate timelines and monitor deadlines to ensure compliance with court requirements.
Assist with estate administration tasks, including asset transfers and related documentation.

Additional Responsibilities

Maintain case files and client records in accordance with firm procedures.
Monitor deadlines and ensure timely completion of assigned tasks.
Schedule meetings, appointments, hearings, and deadlines.
Assist with case management and workflow tracking.
Perform administrative duties, including filing, scanning, document management, and answering phones.
Maintain confidentiality of sensitive client, financial, and firm information.
Demonstrate professionalism and excellent client service in all interactions.

Required Qualifications

Minimum two years of legal assistant, paralegal, or related legal experience.
Experience preparing legal documents and maintaining legal files.
Strong organizational, communication, and interpersonal skills.
Excellent attention to detail and accuracy.
Ability to manage multiple priorities and meet deadlines.
Strong problem-solving and critical-thinking skills.
Technology proficiency and ability to learn new software and systems quickly.
Ability to work independently and collaboratively as part of a team.
Professionalism, initiative, reliability, and a strong work ethic.

Preferred Qualifications

Probate and/or trust administration experience.
Paralegal education or certification.

Schedule

Monday – Thursday: 8:00 a.m. – 5:00 p.m.
Friday: 8:00 a.m. – 4:00 p.m.
Optional Summer Hours: Fridays 8:00 a.m. – 1:00 p.m.
