Rental Fleet Operations & Yard Coordinator

We're looking for a highly organized, proactive Rental Operations Coordinator to oversee the daily flow of equipment through our rental yard and ensure every machine is prepared, inspected, and ready to rent.
Position Summary
The Rental Operations Coordinator serves as the operational hub between Dispatch, the Rental Department, Service, and the Yard. This position is responsible for managing equipment check-ins and check-outs, coordinating equipment movement, maintaining yard organization, and ensuring every rental unit is customer-ready before delivery.
Success in this role is measured by reducing equipment downtime, improving fleet readiness, minimizing preventable rental delays, and maintaining efficient communication across departments.
Responsibilities
- Coordinate the daily movement of rental equipment throughout the yard.
- Manage all equipment check-in and check-out processes.
- Conduct detailed inspections using company inspection software.
- Document machine condition with photographs and inspection reports.
- Identify and communicate customer damage and missing items.
- Coordinate with Dispatch to prioritize equipment movement and staging.
- Ensure scheduled rental equipment is fully prepared before delivery.
- Maintain an organized, safe, and efficient rental yard.
- Monitor equipment awaiting service, cleaning, or inspection and prioritize workflow.
- Assist with equipment preparation for customer deliveries and equipment sales.
- Maintain fueling records and oversee fuel island operations.
- Communicate daily operational status and fleet readiness to management.
- Support continuous process improvements that increase fleet utilization and customer satisfaction.
Qualifications
- 2+ years of experience in construction equipment, rental, fleet management, or a related industry.
- Strong organizational and time management skills.
- Mechanical aptitude and familiarity with heavy equipment.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Excellent communication and teamwork skills.
- Comfortable using tablets, inspection software, expected to be computer / software literate and ability to use Microsoft Office.
- Valid driver's license with a clean driving record.
Preferred Qualifications
- Experience in equipment rental operations.
- Knowledge of equipment inspections and preventive maintenance.
- Experience operating heavy equipment.
- Forklift certification or willingness to obtain certification.

Pay: $22.00 - $27.00 per hour
