This position is covered by the Service Contract Labor Standards. Base wages and Health & Welfare (H&W) benefits, holiday and vacation entitlements will meet or exceed the current U.S. DOL Wage Determination (WD) for Lakehurst, NJ applicable to 01020- Administrative Assistant.
Compensation is subject to the applicable Wage Determination and may be adjusted in accordance with Department of Labor updates.
Position Overview
MORA Consultants, LLC is seeking a qualified Administrative Assistant to provide direct administrative and office management support to Command Leadership at the Naval Air Warfare Center Aircraft Division (NAWCAD) in Lakehurst, NJ.
The Administrative Assistant will perform a broad range of administrative functions in support of daily command operations. The successful candidate will work independently with minimal supervision, exercise sound judgment in resolving administrative matters, and serve as a key point of contact for internal and external stakeholders. This position requires exceptional organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
- Provide direct administrative support to Command Leadership and Front Office personnel.
- Maintain office files, records, correspondence, and subject matter documentation in accordance with established procedures.
- Establish and maintain automated and manual tracking systems, logs, and records using Microsoft Office applications.
- Review incoming correspondence and documentation for completeness, suspense dates, required actions, routing requirements, and proper distribution.
- Monitor action items and suspense deadlines and follow up with responsible personnel to ensure timely completion.
- Review outgoing correspondence for accuracy, formatting, spelling, grammar, and compliance with established administrative procedures.
- Receive and screen visitors, telephone calls, and email inquiries; determine the appropriate disposition and route inquiries accordingly.
- Provide routine administrative information and status updates regarding reports, correspondence, action items, and suspense requirements.
- Schedule appointments, meetings, conferences, and command events.
- Coordinate meeting logistics, including scheduling, participant coordination, meeting locations, and supporting documentation.
- Maintain calendars and assist Command Leadership with prioritization and coordination of administrative activities
- Make travel arrangements, prepare travel authorizations and travel documentation, coordinate itineraries, submit travel vouchers, and assist with travel-related administrative requirements, including use of government travel systems.
- Maintain administrative controls and tracking mechanisms for correspondence and office actions.
- Exercise discretion when handling sensitive information and determine the appropriateness of releasing information based on applicable guidance and authority.
- Interpret and apply administrative procedures, policies, and practices to resolve routine and non-routine office matters.
- Utilize judgment, initiative, and problem-solving skills to address administrative challenges and ensure efficient office operations.
- Prepare meeting materials, assist with presentations, and, when requested, attend meetings to take notes, prepare meeting minutes, and document action items.
- Coordinate meeting logistics, including scheduling, participant coordination, meeting locations, and supporting documentation.
- Perform other administrative support duties as assigned in support of mission requirements.
Minimum Qualifications
- Active SECRET security clearance.
- High school diploma or equivalent.
- Minimum three (3) years of administrative support experience in a professional office environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams).
- Experience managing calendars, scheduling meetings, maintaining records, and coordinating administrative actions.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to work independently and manage multiple priorities with minimal supervision.
- CAC eligibility required for base access and logical access to government networks.
Preferred Qualifications
- Prior experience supporting Department of Defense (DoD), Navy, NAVAIR, or other federal organizations.
- Experience supporting executive leadership, command staff, or senior management.
- Knowledge of government correspondence standards and administrative processes.
- Experience preparing, reviewing, or coordinating naval, military, or government correspondence in accordance with established formatting and routing requirements.
- Familiarity with the Defense Travel System (DTS), including travel authorizations, voucher processing, and travel-related administrative support.
- Familiarity with Controlled Unclassified Information (CUI) handling requirements in accordance with DoDI 5200.48.
- Experience coordinating official travel and processing travel-related documentation.
Work Environment
- Schedule: Full-Time, 100% Onsite
- This position is performed onsite at NAWCAD Lakehurst, NJ.
- Government-furnished workspace, NMCI workstation access, and administrative supplies will be provided.
- Contractor personnel must obtain and maintain a Common Access Card (CAC).
- Occasional overtime may be required based on mission needs and contract requirements. Overtime will be compensated in accordance with applicable contract provisions, the Fair Labor Standards Act (FLSA), and Service Contract Labor Standards requirements.
Security and Compliance Requirements
- Must maintain an active SECRET clearance for the duration of the contract.
- Required to sign a non-disclosure agreement (NDA).
- Must complete annual Anti-Terrorism/Force Protection (AT/FP) training per DoDI O-2000.16.
- Must complete OPSEC training in accordance with DoD 5205.02-M prior to assignment.
- Employment is contingent upon the applicant's ability to obtain and maintain required base access, CAC credentials, and all customer-mandated access requirements for the duration of employment.
Compensation & Benefits
This position is covered under the Service Contract Labor Standards (SCLS/SCA) applicable to the current Department of Labor Wage Determination for Lakehurst, NJ.
- Hourly wage: $40.03 per hour
