Full Job Description

Summary:

As part-time Office Manager/Bookkeeper, you will oversee daily administrative operations while maintaining accurate financial records. Reporting to the General Manager, you will ensure efficient front desk and clerical tasks, data entry, and customer service with professional communication. Your expertise in Microsoft Office, Windows, and accounting software will drive organized office workflows, reliable records, and timely financial reporting. This role blends administrative leadership with meticulous bookkeeping to support smooth, compliant office operations and owner- and resident-facing interactions. The hours are M-F 9 AM – 2 PM (25 hours per week) at office location. Since this position requires on-site office hours, it cannot be performed remotely.

Required Skills and Experience:

demonstrated 2 years’ bookkeeping experience
minimum HS diploma or equivalent required
work calmly under pressure and be a self-starter
be organized and communicate in a business manner
work independently, but work effectively with the General Manager, staff, Board of Directors, owners, residents, committee members, and vendors
have great customer service
be attentive to details
prioritize and work effectively in a fast-paced, demanding environment
proficient with Microsoft Office (Outlook, Excel, and Word), Windows OS, and accounting software
learn and become proficient with the HOA management software, accounting system, and access control system software
Duties and Responsibilities:
Process incoming communications. Enter work orders for the Facilities Manager or General Manager.
Keep the General Manager informed of office, owner/resident, or other operational issues that could affect the community, staff responsibilities, or finances. Assist the General Manager to complete his responsibilities and participate in any projects the GM requests.
Supply necessary information, forms/documents to owners, residents, and interested parties and route to appropriate staff member for processing.
Manage filing including hard copies, computer files, and website postings.
Coordinate and assist the General Manager in any way that is helpful to facilitate board and owner meetings and mailings.
Process Guest Apartment Reservations, deposit and balance payments, issuing fobs/keys, and schedule housekeeping.
Process move-ins/outs with the collection of assigned fees, coordinate dates of moves, schedule move supervisors, email timesheets to employment agency, and contact tenants or owners when needed.
Maintain Resident Handbook which includes emergency procedures, maintenance responsibilities, contact information, and other board-approved documents such as Rules.
Send out and post notice of events, meetings, agendas, water shut offs, and other notices as approved by the General Manager.
Organize and coordinate owner and resident events.
Process the purchase of amenity keys, garage door cards, fobs, bike parking leases, vehicle parking permits, and key lockboxes.
Distribute bicycle parking permits, monitor bicycle parking, and coordinate the yearly bicycle cleanup
Maintain the resident intercom for each building.
Provide Notary services.
Maintain the vendor information, including W-2s, COIs, and 1099s.
Perform all duties associated with the in-office accounting according to our Financial Operations Policy including:
Entering all financial data into the accounting system.
Processing income, including checks, cash, credit/debit payments, and ACH collections.
Enter invoices, assign accounts as directed by the General Manager, process payments, and acquire board signatures on checks.
Reconciling accounts and review monthly with Treasurer
Provide printed and verbal reports for the General Manager, Board of Directors, and Owners.

Hourly pay of $24-28 depending on experience paid bi-weekly
