About Us

Mosaic Counseling and Assessment Center (formerly Stress Management Family Counseling Center) is a well established mental health clinic in the community, providing both assessment and counseling to a diverse patient population and across the lifespan. We are committed to offering kind and professional services to our clients and hope to find a front desk member who can assist in supporting both our clients and clinicians to help our office run smoothly and efficiently.

This paid internship is ideal for someone interested in behavioral health, psychology, counseling, healthcare administration, social work, or office management. The role provides hands-on experience in a professional outpatient mental health setting and opportunities to develop administrative, communication, and client care skills.

Position Summary

The Front Desk Receptionist / Administrative Intern serves as the first point of contact for clients, providers, and visitors. This role supports daily office operations by handling scheduling, communication, organization, and administrative tasks while upholding professionalism, confidentiality, and compassion in a mental health setting.

The ideal candidate is organized, dependable, personable, detail-oriented, and able to multitask in a fast-paced environment.

Responsibilities

Front Desk & Client Support

Greet and check in clients with warmth and professionalism
Answer phones, return calls, and respond to emails
Assist clients with intake paperwork and scheduling
Confirm appointments and communicate schedule updates
Maintain a calm, welcoming, and organized waiting room environment
Communicate professionally with providers, clients, and staff

Administrative Duties

Update client demographics, insurance information, and intake documents
Process forms, scan/upload documents, and maintain accurate records
Report cancellations, no-shows, and scheduling concerns to leadership
Assist with insurance verification and administrative follow-up as needed
Support providers with general administrative tasks
Maintain front office organization, supplies, and office appearance

Qualifications

High school diploma or equivalent required
Current college student or recent graduate preferred
Interest in psychology, counseling, healthcare, social work, or administration strongly preferred
Strong verbal and written communication skills
Comfortable using computers, email, scheduling systems, and basic office software
Ability to multitask, stay organized, and manage time effectively
Professional demeanor and strong interpersonal skills
Ability to maintain confidentiality and professionalism in a mental health setting
Previous customer service, hospitality, healthcare, or office experience is a plus but not required
