SUMMARY
The Office Administrator is responsible for the routine administrative duties and services of the church office, providing skills for the efficient operation of the church’s ministries and facilities.
ESSENTIAL FUNCTIONS
The following are illustrative of the primary functions of this position and are not intended to be all inclusive.
- Maintain regular office hours.
- Maintain confidentiality in respect to private conversations, counseling situations, and church business.
- Attend staff meetings as scheduled.
- Provide reception services by answering phone and assisting callers; greeting and assisting persons entering the building; informing groups regarding building use.
- Prepare and produce printed church documents and digital documents including worship slides.
- Maintain church membership database; individual profiles, attendance, death and baptism records, etc. and produce reports as needed.
- Manage communication through direct email, website, and USPS-delivered mail.
- Maintain Church Calendar; including posting meets and events on the church website calendar; assisting in scheduling nursery staff, elder on call, Sunday servers, etc.
- Work with the bookkeeper to ensure bills, requests for payment, and checks are handled in a timely and accurate manner.
- Maintain an accurate and timely Administrative Procedures notebook.
- Other duties as assigned.
OTHER RESPONSIBILITIES
- Maintain office equipment contracts and purchase office supplies.
- Request and maintain all background checks on volunteers.
- Train and schedule office volunteers and write job descriptions for each task.
- Resource church leaders and the clergy staff.
- Provide administrative support for youth camps and mission trips.
- Seasonal preparations, including flower orders, candles, inserts, sign-ups, announcements, etc.
- Prepare materials for new church leaders each year.
MINIMUM QUALITIFCATIONS
High School diploma or GED is required. Associate or Bachelor degree preferred. Equivalent combinations of education and experience may be considered.
PHYSICAL REQUIREMENTS
Ability to sit and/or stand for extended periods of time during regular officer hours. Ability to lift 20 pounds.

PERFORMANCE REVIEW
The performance of the Executive Assistant shall be reviewed annually by the Senior Pastor. The Senior Pastor will report to the Personnel Team to assure that the review is complete.
