Executive Support & Calendar Management: Manage the Chair’s calendar, scheduling, correspondence, meeting coordination, and travel arrangements, while triaging administrative, client, and operational matters and routing them to the right person or department.

Legal Operations Support: Coordinate and track new-file administrative requirements, including SCRA, PACER, military status, social match, and other required checks or verifications, ensuring applicable checks are completed within established timeframes

Confidential & Compliance Coordination: Handle confidential personal and professional matters for the Chair, monitor day-to-day compliance requirements for the Real Estate Practice, and coordinate new-file administrative checks such as SCRA, PACER, military status, and social match verifications.

Recruiting & Onboarding Support: Coordinate job requests, interview scheduling, candidate communications, and onboarding logistics for new Real Estate Practice team members in partnership with Human Resources.

Client & Business Development Support: Organize and distribute client alerts, support client surveys and audits, and assist with business development meeting coordination, materials preparation, and event logistics.

Correspondence & Reporting: Draft, design, and proofread correspondence, reports, memos, and presentations, and manage travel and expense reporting with accuracy and timeliness.

5+ years of experience providing executive-level administrative support, preferably as an Executive Assistant, Legal Assistant, or similar role supporting a senior executive, practice chair, law firm partner, or professional services leader.

Bachelor’s degree preferred; equivalent professional experience will be considered.

Demonstrated ability to manage complex, confidential, and time-sensitive matters with exceptional judgment and discretion.

Advanced proficiency in MS Office Suite, particularly Excel and PowerPoint.

Outstanding organizational skills, attention to detail, and follow-through in a fast-paced, multi-jurisdictional legal environment.

Excellent written and verbal communication skills, with the ability to build strong relationships across all levels of the firm.

Are you an experienced Executive Assistant who thrives in a fast-paced, dynamic environment? Our team is seeking an assistant to provide administrative and secretarial support for the Chief Executive Officer and other executives. Responsibilities will include typing, filing, scheduling, expense reporting, business intelligence reporting, meeting/conference coordination, supply ordering, preparation of direct mailings, and working on special projects. In addition, this role requires answering non-routine correspondence and assembling highly confidential and sensitive information. The person in this role will liaise with external and internal stakeholders and clients. Independent judgment and a high level of customer service is required to plan, prioritize, and organize a diversified workload and recommend changes in office practices or procedures. Responsibilities: Proactively provide support to the CEO and other executives as assigned. Manage the CEO’s calendar in setting, confirming, rescheduling meetings and appointments with internal and external parties. Manage the CEO’s personal matters including but not limited to medical, financial, personal, travel etc. while upholding a strict level of confidentiality. Partner with the recruiting team to set-up potential Partner/Attorney/ Acquisitions with the CEO. Schedule all partner monthly productivity meetings with the CEO and Chief Accounting Officer. Take dictation during bi-weekly meetings with executives. Screen calls and emails to the CEO while maintaining confidentiality. Schedule and organize complex activities such as meetings, travel, conferences, and department-led activities. Establish, develop, maintain and update filing system for the CEO. Sort, review, distribute and respond to mail on a daily and recurring basis. Act as a liaison with other departments and outside agencies, including high-level staff such as the Executive Team, Directors, Managers, etc. while maintaining strict confidentiality. Work independently on special non-recurring and ongoing projects. Assists with special projects, at the request of the CEO, which may include planning and coordinating multiple presentations, disseminating information, and coordinating direct mailings. Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Prepare internal documents for the CEO. Manage office runs and errands for the CEO as needed using personal vehicle. Order supplies/items as requested by the CEO. Coordinate lunch on a daily basis for the CEO and other shareholders/Executives. Maintaining expense reports for the CEO. Duties include copying check requests and sending to accounts payable for travel reimbursement and documenting corporate credit card expenses to Accounting. Carry out other duties, tasks, and projects as assigned during and after business hours. Qualifications: 3 years of related experience and/or training; or equivalent combination of education and experience. Bachelor’s Degree. MS Office Suite proficiency.
