Prior Authorization & Eligibility Verification Specialist

Location: Fair Lawn, NJ
Job Type: Full-Time, W-2
Schedule: Monday–Friday, On-Site
Pay: $55,000 starting pay

About the Position

Vantage Vascular, a growing in-network interventional radiology practice, is seeking an experienced Prior Authorization & Eligibility Verification Specialist to join our team in Fair Lawn, New Jersey.

This position has two primary insurance-related responsibilities:

1. Thoroughly verifying patient insurance eligibility and benefits before visits and procedures
2. Obtaining prior authorizations, particularly for outpatient medical procedures

This is a full-time, in-office position five days per week. This is not a remote or hybrid position.

The ideal candidate has significant hands-on experience verifying insurance eligibility and benefits and obtaining prior authorizations for procedures. Candidates should be comfortable contacting insurance carriers, navigating payer portals, reviewing plan benefits, understanding patient responsibility, and ensuring required authorizations are obtained before scheduled procedures.

Because we are an in-network practice, accurate verification of insurance coverage and benefits is a critical part of this position.

In addition to insurance verification and authorization responsibilities, this employee will sit at the front desk, greet patients, and assist with billing- and insurance-related telephone calls.

Insurance Eligibility & Benefits Verification

A significant portion of this position involves detailed insurance eligibility and benefits verification.

Responsibilities include:

Verify insurance eligibility and confirm active coverage prior to office visits and procedures
Confirm that our practice and services are covered under the patient's insurance plan
Verify in-network benefits
Determine whether referrals or prior authorizations are required
Obtain and document the following: Deductible and remaining deductible, Copay, Coinsurance, Out-of-pocket maximum and remaining out-of-pocket amount, Procedure-specific benefits, Specialist benefits, Imaging benefits when applicable, Referral requirements, Prior authorization requirements
Confirm coverage for planned procedures and services
Contact insurance carriers when information available through payer portals is incomplete or unclear
Accurately document eligibility and benefit information in the patient's chart
Identify coverage problems before the patient's appointment or procedure
Communicate insurance-related patient financial responsibility when appropriate
Update and reverify insurance information when coverage changes

Prior Authorization Responsibilities

Determine authorization requirements for outpatient interventional radiology procedures
Submit and obtain prior authorizations for procedures, imaging, and other services
Work with insurance companies and payer portals to obtain procedural approvals
Confirm that requested CPT codes are authorized prior to the procedure date
Submit clinical notes, imaging reports, and supporting documentation required by insurance carriers
Track authorizations from initial submission through approval
Follow up consistently on pending authorizations to prevent procedure delays or cancellations
Document authorization numbers, approved CPT codes, effective dates, and expiration dates
Review payer medical policies and authorization requirements when necessary
Communicate with physicians and clinical staff regarding additional documentation needed for approval
Assist with denials, reconsiderations, appeals, and peer-to-peer scheduling when appropriate

Front Desk Responsibilities

Because this position is based at our front desk, the employee will also:

Greet and check in patients in a professional and welcoming manner
Answer and route incoming telephone calls
Assist patients with insurance and billing-related questions
Collect insurance cards, identification, and necessary patient information
Maintain accurate patient demographic and insurance information
Assist with scheduling and other front-office responsibilities as needed
Maintain an organized and professional reception area

Qualifications

Required:

Previous experience with medical insurance eligibility and benefits verification
Previous experience obtaining prior authorizations for medical procedures
Strong understanding of deductibles, copays, coinsurance, out-of-pocket maximums, referrals, and authorization requirements
Experience verifying procedure-specific insurance benefits
Experience working with commercial insurance plans and other major payers
Experience communicating directly with insurance companies
Experience using payer portals for eligibility verification and prior authorization
Ability to work with CPT and ICD-10 codes
Ability to accurately document insurance benefits and authorization information
Excellent attention to detail
Strong organizational and follow-up skills
Excellent telephone and patient communication skills
Ability to manage multiple patients, authorizations, and procedure dates simultaneously
Ability to work on-site in Fair Lawn, NJ Monday through Friday

Preferred:

2+ years of medical insurance eligibility, benefits verification, and prior authorization experience
Experience obtaining authorizations specifically for medical procedures, rather than primarily medications
Experience working in an in-network specialty medical practice
Experience with interventional radiology, radiology, vascular surgery, cardiology, orthopedics, pain management, ambulatory surgery, or another procedure-based specialty
Familiarity with procedural CPT codes and ICD-10 diagnosis codes
Experience with denials, appeals, reconsiderations, and peer-to-peer processes
Experience with eClinicalWorks or a similar EMR/practice-management system

What We're Looking For

We are looking for someone who can take ownership of the insurance process before a patient receives treatment.

The successful candidate should be able to independently determine:

Is the patient's insurance active?
Are we in-network?
What are the patient's benefits?
What will the patient's financial responsibility likely be?
Is a referral required?
Is prior authorization required?
Is the planned procedure covered?
Has the correct procedure/CPT code been authorized?
Is everything in place for the patient to proceed with treatment?

Accuracy is extremely important. The goal is to identify insurance or authorization issues before the patient's visit or procedure, rather than after services have been performed.

Because this employee will also be one of the first people patients encounter when entering the office, a friendly, professional, and patient-focused attitude is essential.
