Full Job Description

Executive Assistant

Position Overview: LHH Recruiting is seeking a highly organized and detail-oriented Executive Assistant to support the VP and assist with day-to-day administrative and operational functions with our client in Scottsdale, AZ. This role is ideal for someone who thrives in a fast-paced environment, is proactive, and can manage multiple priorities while maintaining a high level of professionalism and discretion.

Key Responsibilities:

Manage and prioritize the VP's communications, including reviewing daily voicemails, preparing transcripts, and ensuring timely follow-up within 24 hours
Answer, screen, and direct incoming calls while maintaining a professional and welcoming front-office presence
Maintain and coordinate the VP's calendar, scheduling both internal and external appointments while balancing priorities
Track and reconcile expense reports for the VP and staff, including matching receipts and credit card transactions to statements
Support accounts payable processes using QuickBooks
Coordinate and arrange quarterly meetings and events
Organize weekly catering for multiple office locations, along with planning larger monthly, quarterly, and holiday events
Order and manage office supplies, snacks, and beverages for multiple offices
Oversee equipment logistics for field operations, including tracking, deployment, and monitoring alerts for specialized equipment
Administer and track client-related financial tools (e.g., controlled-use credit cards), including monitoring notifications and expiration timelines
Provide general administrative and operational support as needed to ensure business continuity

Qualifications:

3+ years of Executive Assistant or senior administrative experience supporting leadership at a VP level.
Strong organizational skills with the ability to manage multiple priorities and deadlines
Excellent verbal and written communication skills
High level of professionalism, discretion, and attention to detail
Proficiency with Microsoft Office Suite
Ability to work independently and proactively solve problems

Pay Details: $31.00 to $32.00 per hour
