Job Summary

We are seeking a dedicated and detail-oriented Patient Care Coordinator/Front Desk professional to serve as the first point of contact for patients and visitors in our healthcare facility. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a comprehensive understanding of medical administrative procedures. This role involves managing patient interactions, scheduling appointments, verifying insurance information, and maintaining accurate medical records, all while ensuring compliance with confidentiality policies and healthcare regulations. The Patient Care Coordinator/Front Desk plays a vital role in delivering exceptional patient service and supporting the smooth operation of our clinical environment.

Responsibilities

Greet patients and visitors warmly, providing outstanding customer service while managing check-in and check-out processes efficiently.
Schedule patient appointments using EMR (Electronic Medical Records), ensuring accuracy and timeliness.
Verify insurance coverage, process medical claims, and handle collections related to patient accounts with attention to detail and adherence to HIPAA guidelines.
Maintain and update patient records accurately within various EHR (Electronic Health Record) systems, including documentation review and data entry.
Answer phone calls professionally, triaging inquiries, providing information about clinic services, and scheduling or rescheduling appointments as needed.
Collect copayments or outstanding balances securely while following proper billing procedures for medical billing and collections.
Support clinical staff by managing administrative tasks such as filing medical records, organizing care plans, and assisting with documentation review.
Ensure compliance with healthcare policies related to clinical confidentiality, health information management, and medical terminology standards.
Utilize computer skills to operate office equipment efficiently, including typing with 10-key accuracy for data entry tasks.
Assist in maintaining a clean, organized front desk area that promotes a welcoming environment for patients and staff.

Requirements

Proven experience in medical office administration or front desk roles within clinics or healthcare settings.
Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks is highly desirable.
Strong knowledge of health insurance procedures including Medicare, HIPAA regulations, CPT coding, ICD-9/ICD-10 coding standards, and medical billing practices.
Excellent communication skills with proficiency in phone etiquette and customer service principles; bilingual abilities are a plus.
Demonstrated ability to manage multiple tasks efficiently in a fast-paced environment while maintaining attention to detail.
Knowledge of clinical confidentiality policies and health information management practices.
Experience working in dental clinics or similar healthcare environments is advantageous but not mandatory.
Proficiency in Microsoft Office Suite (Word, Excel)
Ability to work collaboratively within a team while providing exceptional patient service and administrative support.
