Experienced Medical Spa Patient Liaison & Front Desk Coordinator

Location: Tribe Med Spa – Naples, FL

At Tribe Med Spa, we're looking for someone who doesn't just answer phones or check patients in—we're looking for someone who creates unforgettable first impressions.

Our Patient Liaison is the face and voice of our practice. Every patient should feel welcomed, valued, and excited from the very first phone call to the moment they walk through our doors. Responsibilities

Welcome every patient with genuine enthusiasm and a warm smile.
Answer every phone call with a positive, upbeat attitude that makes patients feel excited to visit.
Build lasting relationships with patients by learning their names and creating a personalized experience.
Schedule appointments efficiently while maximizing provider schedules.
Respond promptly to phone calls, text messages, emails, and online inquiries.
Educate patients on treatments, memberships, skincare, and current promotions.
Help patients feel confident in booking recommended services and treatment plans.
Assist with product recommendations and retail sales.
Collect payments and accurately process financing and transactions.
Maintain a clean, organized, luxury front desk environment.
Support providers to ensure patients receive a seamless five-star experience from beginning to end.
Work closely with the team to achieve booking, retail, and membership goals.
Handle multiple tasks while remaining calm, professional, and friendly during busy days.
Be proactive—anticipate patient needs before they ask.

Qualifications

Minimum 2 years of experience in a medical spa, plastic surgery, dermatology, cosmetic dental, or aesthetic practice REQUIRED.
Exceptional customer service and communication skills.
Sales experience with confidence discussing treatment plans and memberships.
Professional appearance with a polished, positive attitude.
Highly organized with strong attention to detail.
Comfortable using scheduling software and electronic medical records (Aesthetic Record experience is a plus).
Ability to multitask in a fast-paced environment.
Evening and occasional Saturday availability.
Availability to work rotating Saturdays is required and non-negotiable.
