Job Summary
The Assistant Controller is responsible for supporting the club’s financial operations through the accurate and timely processing of member billing, vendor invoices, payments, and account reconciliations. This role manages daily accounting functions related to accounts receivable and accounts payable and assists with month-end and year-end processes. The position requires strong organizational skills, attention to detail, professionalism, and the ability to handle confidential information in a fast-paced environment.
Hours/Days
Monday through Friday, flexible hours. Administration office is open from 8AM to 5PM.
Primary Responsibilities
Accounts Receivable (A/R)
- Post daily member charges, including golf, food & beverage, spa, and other club-related activities
- Generate and distribute monthly member statements
- Work with title companies to process estoppels on home sales.
- Apply payments received via checks, ACH, and credit cards to member accounts
- Respond to member billing inquiries and resolve account discrepancies in a professional and timely manner
- Contact past due members and work with lawyers to process certified letters and lawsuits
- Assist with month-end closing procedures related to accounts receivable
Accounts Payable (A/P)
- Manage the full invoice lifecycle within the automated accounts payable system, ensuring invoices are submitted and routed to the appropriate department heads
- Process vendor payments according to invoice due dates and submit payment batches
- Obtain and reconcile monthly vendor statements, ensuring accuracy and timely resolution of discrepancies
- Manage company credit card activity, ensuring receipts, memos, and expense coding are submitted accurately and on time
- Maintain vendor master files, including W-9 forms and certificates of insurance, and process credit applications for new vendors
- Assist with year-end preparation of 1099 forms
Additional Responsibilities
- Prepare and maintain biweekly gratuity spreadsheets
- Support HR with administrative tasks and special projects as needed
- Oversee inventory processes, including spreadsheet updates, spot checks, and cost of goods sold (COGS) testing
- Assist with monthly reconciliations, special projects, and other duties as assigned by the Director of Finance
Qualifications
- Bachelor’s degree in accounting, finance or a related field
- Minimum 2 years of experience in a country club, hospitality, or member-based organization
- Knowledge of generally accepted accounting principles (GAAP)
- Embraces technology and continuous process improvement
- Proficiency in Jonas, Foretees or other Private Country Club software
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook
- Excellent organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment
- Exceptional attention to detail and accuracy in financial record-keeping
- Strong interpersonal and communication skills to interact with staff, members, and external partners

Pay: $80,000.00 - $90,000.00 per year
