Full Job Description

Use your skills to make a difference with visitors at the Edison and Ford Winter Estates -- one of the most-visited historic home sites in the country and a key historic and cultural landmark in southwest Florida. A National Register Historic Site open to the public since 1947, the site contains more than twenty acres of historic buildings and gardens, including the winter homes of Thomas Edison and Henry Ford, their botanical laboratory, and a 15,000-square-foot museum.

Job Summary

The Event Coordinator supports the planning, coordination, and execution of public events (such as car shows and garden festivals) and private events (including weddings, corporate functions, and holiday parties) at Edison and Ford Winter Estates.

This position manages event logistics from initial inquiry through event completion by communicating with clients and vendors, conducting site tours, preparing event documentation and work orders, maintaining accurate records, and providing administrative support. The Event Coordinator also serves as an on-site representative during events, ensuring smooth operations and an exceptional experience for clients and guests. This position must be able to work independently and reports to the Event Manager.

Schedule/Hours

The Estates is open seven days a week year-round with evening hours during the holidays and other special events throughout the year. Regular public daytime hours for visitors are 9 a.m. to 5:30 p.m. This is a full-time, non-exempt position with benefits. The Events Coordinator will typically work a five-day work week, including evenings, weekends and holidays.

Essential Job Responsibilities

Assist with the management and execution of Edison Ford private events including wedding ceremonies, receptions, corporate events and meetings.
Assist with the execution of Edison Ford public events including but not limited to the Fall Festival, Garden Festivals, Holiday Nights, Car Shows, Concerts, Lunch and Tours and birthday celebrations.
Ability to oversee event logistics including setup, catering, entertainment, audiovisual, décor, rentals, transportation, and security.
Maintain the Edison Ford wedding Instagram by creating engaging content and supporting the promotion of the venue.
Various clerical tasks including but not limited to answering the phone, replying to site rental inquiries, filing, setting appointments, and typing.
Meet with potential clients and perform site walks.
Ability to lead a wedding rehearsal and day-of processional assistance.
Maintain relationships with clients by assisting with questions, logistics, and final phone calls.
Attend trade shows and community partner meetings as needed.
Assist in maintaining the Edison Ford events calendar.
Prepare and distribute work orders.
Ability to work a flexible schedule (including nights and weekends).
Lead event setup, execution, and breakdown.
Troubleshoot real-time operational issues.
Serve as point of contact for vendors, staff and partners.
Maintain Edison Ford vendor relations and vendor policy documents.
Performs other duties as assigned.

Supervisory Responsibilities

This job has no direct supervisory responsibilities.

Minimum Requirements

Bachelor’s degree from an accredited college or university with a degree in a related field.
Prior experience in event coordination or a related field.
Strong organizational and time-management skills with the ability to manage multiple tasks and deadlines.
Excellent written and verbal communication skills.
Excellent computer skills to include Microsoft Office and basic data entry experience.
Experience with computer networks – internet, websites, social media, and email.
Ability to work collaboratively with internal teams and external partners.
Must have a friendly and outgoing personality focused on providing excellent customer service.

Physical Demands and Working Conditions

Required to stand, walk, sit, use hands to finger, handle or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, talk and hear.
Must be able to occasionally lift or move up to 20 pounds.
Contact with internal and external customers, vendors, outside agencies and the general public.
Occasionally exposed to adverse weather conditions, including wet and/or humid conditions and extreme heat.
