Full Job Description

Girard College is a full-scholarship boarding school that fosters intellectual curiosity, social development and emotional growth in academically focused students from underserved communities. We ensure every student the opportunity and the means to achieve excellence and preparation for advanced education through purposeful academic and residential programs.

Summary:

The Mail Room Clerk for Campus Operations functions by performing the duties and responsibilities as listed below. The work hours are anticipated to be from 8:30 am - 4:30 pm, Monday through Friday. The position reports to the Director of Business Services.

Duties and Responsibilities:

United States Postal Service & Interoffice Mail:

Sort/distribute incoming mail from USPS to the appropriate department or mailbox
Prepare outgoing mail by weighing, metering, and applying the appropriate postage.
Assist with bulk mailings (sealing and postage)
Operate and maintain the postage meter
Refill postage meter funds as needed
Maintain a clean, organized, and secure mailroom

Packages:

Receive and scan incoming packages for staff and departments.
Organize and distribute packages to the appropriate staff members.
Deliver bulk or oversized packages to classrooms, offices, and departments.
Verify package information and ensure deliveries are made to the correct recipient.
Notify staff when packages have arrived and are ready for pickup or delivery.
Track incoming and outgoing packages using the school's inventory or shipping system.
Assist with shipping outgoing packages, including labeling and coordinating carrier pickups.
Report damaged, missing, or incorrectly addressed packages to the appropriate personnel.
Obtain signatures or delivery confirmation for accountable or high-value items when required.
Coordinate deliveries with administrative offices and other departments.
Follow school safety and security procedures when handling deliveries.
Assist with moving and transporting supplies, equipment, and other deliveries throughout campus.
Keep accurate records of package receipts and deliveries.
Maintain confidentiality when handling sensitive or confidential shipments.
Communicate with shipping carriers regarding delivery issues or special instructions.
Assist with inventory and supply distribution as needed.
Maintain a clean, organized package receiving and storage area.

Additional:

Perform other mailroom or logistics-related duties as assigned.
May work with Girard College High School Students that will assist with deliveries.

Requirements:

Must have a minimum of high school diploma
Excellent communication skills, both verbal and written
Proven ability to work collaboratively
Experience using Q Trak a plus.
Ability to maintain confidential information
Physical Requirements – Must be able to lift up to 50 pounds, carry, bend and stoop. This position requires standing, walking and the ability to climb multiple stairs. Most packages are less than 20 pounds but lifting up to 50 pounds is required.

Required Certifications:

FBI Fingerprint Clearance.
Pennsylvania Child Abuse History Clearance.
Pennsylvania State Police Criminal Background Check.
Valid driver's license with a satisfactory driving record.
