Overview

We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will possess strong communication skills, technical proficiency, and a proactive attitude to create a positive first impression for visitors and team members alike. This paid position offers an exciting opportunity to develop your office management skills within a dynamic environment.

Duties

Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression.
Manage multi-line phone systems efficiently, directing calls accurately and courteously.
Handle incoming correspondence, emails, and inquiries using computer literacy and productivity software.
Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
Support office management tasks such as calendar scheduling, appointment setting, and calendar management.
Provide customer support by addressing questions promptly and professionally while maintaining excellent phone etiquette.
Perform clerical duties including filing, copying, scanning, and managing office supplies inventory.
Support administrative functions such as proofing documents, managing office emails, and supporting team members with personal assistant tasks when required.

Experience

Prior office experience or administrative experience is essential for success in this role.
Proven ability to handle multi-line phone systems with professionalism and efficiency.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience in customer service or customer support roles that require excellent communication skills.
Familiarity with data entry tasks and clerical responsibilities such as filing and proofreading.
Strong organizational skills with the ability to prioritize tasks efficiently while maintaining productivity software fluency.
