Job Summary:

The Field Operations Coordinator I position provides essential support for the Business Operations Manager, Supervisors, Field Managers, and Field Staff. This role coordinates activities for clients across the U.S., including document verification, execution of contracts, supplying rates, scheduling, and extensive communication with railroads for planned projects in the field.

As referenced in the Field Operations Coordinator Plan:

Within 6 to 12 months, the Field Operations Coordinator must be proficient in at least one railroad property.

Essential Duties & Responsibilities:

Works with railroads to ensure all permits and license requirements are met before any construction/work occurs on or near railroad property
Coordinates closely with the customer to ensure all paperwork is completed accurately
Actively anticipates, identifies, and resolves issues, initiating steps to manage any conflicts
Creates and edits documents using Microsoft Excel, Microsoft Word, and Adobe Acrobat PDF
Expertly utilizes email and verbal communication with customers
Strong organizational skills to manage numerous customers daily
Answers diverse phone calls with excellent customer service skills
Very little travel is expected for this position, and all travel would be close to the office (within 50 miles). Some examples of travel would be to take a piece of equipment to the field when that would be faster than shipping the equipment or going to the Post Office/FedEx
Contribute to a positive, inclusive, and respectful workplace culture, free from behaviors that undermine morale, productivity, or organizational values
Uphold the organization’s standards of integrity, accountability, and respect in all duties and interactions
Adhere to all company policies, procedures, and applicable laws and regulation
Other duties as assigned or required to meet the business needs

Knowledge Skills and Abilities:

Proficiency with electronic communications including phone, email and text
Experience in dealing with customers firsthand, working through difficult situations, and resolving issues as needed to meet commitments of the department
Proven experience making decisions while following departmental guidelines

Required Education and Experience:

A high school diploma or equivalent
Two years of administrative and/or project management experience

Additional Qualifications, Certifications, etc.:

Excellent customer service skills as well as the ability to think and work independently
Discretion in handling confidential information is required
