We are seeking a highly dynamic Executive Assistant who demonstrates urgency, precision, and exceptional situational awareness. This position requires an individual who recognizes the significance of every detail, communicates proactively, and anticipates needs before they materialize.

This role is not just supportive; it is mission-critical for ensuring leadership operates at optimal effectiveness.

Position Summary

The Executive Assistant provides high-level, strategic support to the company's ownership, ensuring the efficient execution of both business and personal priorities. This role encompasses managing essential tasks, including document tracking, project coordination, and logistical support, while proactively anticipating needs and maintaining exceptional attention to detail.

Acting as a trusted partner, the Executive Assistant enables the leadership team to focus on strategic initiatives and reinforces the company’s vision, core values, and culture by delivering consistent, high-quality support.

Key Functions & Responsibilities

Serve as a strategic partner to executive leadership by managing calendars, prioritizing tasks, and adapting to rapidly changing demands.
Maintain a constant awareness of organizational activities to proactively identify risks, gaps, and opportunities.
Facilitate clear, consistent, and ongoing communication between internal teams and external stakeholders.
Ensure that all commitments are followed through, ensuring that nothing falls through the cracks.
Prepare, organize, and meticulously track meetings, deliverables, and action items.
Handle sensitive and confidential information with discretion and sound judgment.
Anticipate the needs of executives and take independent action to resolve issues before they escalate.

Knowledge and Skills Required

Exceptional verbal and written communication skills, with the ability to engage with executive leadership, external partners, and key stakeholders with confidence, clarity, and professionalism
Highly self-directed with advanced organizational capabilities, demonstrating the ability to manage competing priorities, complex schedules, and critical deadlines with precision
Strong business acumen and anticipatory judgment, with the ability to proactively identify needs, remove obstacles, and drive outcomes with minimal direction
Demonstrated ability to operate as a trusted partner to executive leadership, exercising discretion, sound judgment, and absolute confidentiality in all matters
Advanced interpersonal and influencing skills, with the ability to build credibility, foster relationships, and navigate sensitive situations effectively
Ability to synthesize information, track priorities, and ensure alignment across multiple initiatives, projects, and commitments
Executive presence with a polished, professional demeanor and the ability to represent leadership internally and externally
Resilient and composed under pressure, with the ability to adapt quickly and maintain a solutions-oriented mindset in high-demand environments
Proven ability to operate effectively within a fast-paced, entrepreneurial, and operational (manufacturing or field-based) environment
Valid driver’s license with a clean driving record
Reliable transportation

Education and Experience

A high school diploma or its equivalent is required; a Bachelor's degree in Business Administration or a related field is preferred.
A minimum of 4 years of experience providing direct support to senior executives or ownership is required, demonstrating the ability to manage complex priorities in a high-trust, fast-paced environment.
Proven experience in supporting executive-level decision-making is essential, with an emphasis on effective coordination, communication, and prioritization.
Advanced proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is necessary, along with the capacity to rapidly learn and adapt to new systems, tools, and technologies.

Physical Requirements and Environment

Prolonged periods sitting at a desk and working on a computer.
Ability to occasionally lift up to 20 pounds.
