Sullivan Financial Partners is looking for a Client Solutions Specialist who thrives on organization, takes ownership of their work, and genuinely enjoys helping clients. This role is an important part of the client experience and is responsible for helping ensure that new accounts, transfers, applications, and ongoing client service requests move smoothly from start to finish.

How You Will Make a Difference
Creating an exceptional client experience is at the heart of our business. Our Client Solutions team plays an important role in turning financial recommendations into action and making sure our clients feel informed and supported throughout the process.
As a Client Solutions Specialist, you will take ownership of new business and client service requests from start to finish, ensuring each item is processed accurately, tracked closely, communicated clearly, and brought to completion.
New Business & Account Processing
- Prepare and process new account applications and required documentation accurately and efficiently.
- Process investment account openings and transfers, as well as annuity and life insurance applications.
- Review applications and paperwork for completeness and accuracy prior to submission.
- Track new accounts, applications, transfers, and funding from submission through completion.
- Follow up with custodians, carriers, transfer companies, and other parties to resolve outstanding requirements or delays.
- Monitor the movement of funds from the originating institution through receipt at the appropriate destination.
- Maintain accurate documentation and status updates throughout the entire process.
- Prepare account and policy delivery documentation once business is complete.
- Coordinate with advisors when investment allocation or additional follow-up is required after funds are received.
Client Service
- Process ongoing client service requests accurately and efficiently from request through completion.
- Assist with requests, including withdrawals, account distributions, allocation changes, beneficiary updates, contact information changes, Roth conversions, death claims, and other account or policy servicing needs.
- Communicate directly with clients to gather required information and provide clear updates regarding their requests.
- Track all outstanding service requests and follow up with the appropriate parties until each request is fully resolved.
- Proactively identify delays, missing information, or potential issues and work toward a solution rather than waiting for the next step.
- Ensure clients receive timely communication and understand the status of their request throughout the process.
- Provide a high level of care, professionalism, and responsiveness during every client interaction.
CRM & Database Management
- Maintain complete and accurate client records within our CRM and other internal systems.
- Document client interactions, outstanding items, status updates, and completed work.
- Create and maintain electronic client files and required documentation.
- Ensure workflows, opportunities, notes, and tasks accurately reflect the current status of new business and client service requests.
- Maintain organized records of sensitive client information while following company procedures and privacy requirements.
Tracking, Follow-Up & Reporting
- Monitor pending new business and client service activity daily to ensure requests continue moving forward.
- Maintain accurate tracking of applications, transfers, pending requirements, and completed business.
- Provide proactive client updates on outstanding new business and service requests.
- Escalate delays, recurring issues, or unusual circumstances when appropriate.
- Assist with weekly reporting on pending new business, outstanding service requests, and completed activity.
- Participate in team meetings and provide clear updates regarding priorities, outstanding items, and potential roadblocks.
Qualifications
- Previous experience in the financial services industry is required.
- Experience working with investment accounts, account opening, transfers, custodians, or investment-related client service is required.
- Experience with annuity and/or life insurance processing is preferred.
- Exceptional organizational skills and strong attention to detail.
- Strong sense of ownership with the ability to manage requests from beginning to completion.
- Ability to prioritize multiple client needs, projects, and deadlines simultaneously.
- Consistent follow-through and persistence in resolving outstanding items.
- Strong written and verbal communication skills.
- Professional and confident when communicating directly with clients, advisors, custodians, and other financial institutions.
- Resourceful approach to problem-solving with the ability to research and resolve issues independently.
- Ability to follow established processes while recognizing when an issue requires additional attention or escalation.
- Comfortable working in a fast-paced, team-oriented environment.
- Ability to handle sensitive and confidential client and financial information with discretion.
- Strong ability to learn and adapt to new software, systems, and processes.
- Proficiency with Microsoft Office and CRM systems.
- Experience with financial-services CRM systems and investment custodian platforms is a plus.

Job Type: Full-time
Pay: $45,000.00 - $65,000.00 per year
