Full Job Description

Oral & Facial Surgery Associates is seeking an experienced Practice Manager to lead our administrative team and oversee the daily business operations of our oral and maxillofacial surgery practice. Reporting directly to the surgeon, you will manage a team of 4–6, oversee our insurance and billing function, and support the growth of the practice through strong operations and effective case presentation.

This role is well suited to someone with a background in treatment coordination who has moved into practice management, and who is comfortable both leading a team and coaching others on patient financial conversations.

Major Responsibilities

Team Leadership

Supervise a team of 4–6, including hiring, onboarding, training, and performance evaluations
Set clear performance expectations for each role and provide regular, constructive feedback
Directly oversee and develop the treatment coordinator
Lead daily huddles and weekly team meetings
Foster a professional, positive work environment

Case Acceptance and Treatment Coordination

Train and coach the treatment coordinator on case presentation, financial conversations, and patient follow-up
Develop and refine the consultation and treatment presentation process, including full-arch and complex cases
Track case acceptance and work to improve it
Ensure proposed treatment is followed up consistently

Operations

Manage front office operations including patient scheduling, records management, and insurance verification
Oversee the surgical and clinic schedule, including block scheduling and chair utilization
Manage patient flow from initial contact through post-operative follow-up
Maintain inventory of office supplies and equipment
Serve as liaison between the surgical team, patients, referring offices, vendors, and insurance carriers
Develop and document standard operating procedures

Billing, Insurance, and Financial Management We are in-network with several dental PPOs and out-of-network with medical insurance. Our insurance coordinator handles day-to-day claims; this role provides oversight and direction.

Manage the insurance coordinator/biller and hold the billing function to clear performance standards
Monitor accounts receivable and ensure timely follow-up on outstanding claims, denials, and unpaid balances
Provide direction on whether cases are billed medical or dental, and ensure cross-coding is accurate
Oversee dental PPO fee schedules and participation
Ensure patients understand their benefits, financial responsibility, and payment options prior to treatment
Oversee patient financing options and third-party financing relationships
Prepare monthly reporting on production, collections, accounts receivable, and case acceptance
Support budgeting and financial planning

Compliance

Ensure compliance with HIPAA, OSHA, and Texas State Board of Dental Examiners requirements
Oversee Good Faith Estimate workflow for self-pay and uninsured patients
Support credentialing, payor enrollment, and insurance contracting
Maintain policies, records retention, and employee documentation

Marketing Support

Support marketing efforts including social media, email campaigns, and community events
Manage referring provider relationships and referral tracking
Oversee online reputation and patient review workflow

Qualifications

Required

3+ years in a practice or office management role in a dental, medical, or surgical setting, with direct supervisory experience
Experience with treatment coordination or case presentation, and the ability to train others in it
Working knowledge of dental PPO and medical insurance sufficient to oversee a billing function
Comfort working with practice metrics and financial reporting
Proficiency with practice management software (Open Dental) and Microsoft Office
Strong organizational skills and attention to detail
Excellent written and verbal communication
Ability to handle sensitive information with confidentiality

Preferred

Oral surgery, periodontics, ENT, or other surgical specialty experience
Full-arch implant or large-case treatment coordination experience
Familiarity with out-of-network medical billing
Experience developing systems and processes in a growing practice
Bachelor's degree in healthcare administration, business management, or a related field; equivalent experience will be considered

Compensation and Benefits

Starting at $60,000 annually, commensurate with experience
Performance bonus based on practice operational metrics

Working Conditions and Physical Requirements

Based on-site in our Bedford office, including reception area, private offices, and treatment rooms
Standard business hours, with occasional early starts on surgical days
Works closely with clinical staff, administrators, patients, and referring offices
