Enrollment Advisor
Reports To: Director of Safety & Compliance
Location: IEC Dallas – Irving, Texas
FLSA Status: Full-Time, Salaried
Position Summary
The Enrollment Advisor serves as the primary point of contact for enrolled apprentices and IEC Dallas contractor members throughout the apprenticeship lifecycle. This position is responsible for maintaining apprentice records, ensuring compliance with apprenticeship requirements, supporting contractor members, managing apprentice status changes, and providing exceptional customer service to apprentices, employers, and internal stakeholders.
The ideal candidate is highly organized, detail-oriented, and data-driven with a strong commitment to accuracy, compliance, and customer service. Success in this role requires exceptional attention to detail, strong analytical skills, and the ability to manage large volumes of apprentice and contractor data with a high degree of accuracy and confidentiality.
Essential Duties & ResponsibilitiesApprentice Lifecycle Management
· Manage apprentice records from enrollment through graduation.
· Maintain accurate apprentice files and supporting documentation in all applicable systems.
· Process apprentice transfers, reassignments, reinstatements, withdrawals, terminations, and status changes.
· Update apprentice classifications, wage progressions, employment status, contractor assignments, school year status, and apprentice records.
· Ensure all required documentation is collected, maintained, and properly filed.
· Assist apprentices with questions regarding program requirements, attendance policies, OJT requirements, licensing requirements, and graduation eligibility.
· Monitor apprentice progress and support retention and student success initiatives.
· Collect and maintain required apprentice forms and documentation.
Contractor Support & Customer Service
· Serve as the primary point of contact for contractor members regarding apprentice-related matters.
· Process apprentice transfers, reassignments, employment changes, wage progression updates, and status changes.
· Assist contractors with OJT reporting requirements and apprenticeship compliance questions.
· Communicate apprentice status updates, licensing issues, and compliance concerns to employers.
· Maintain accurate contractor and apprentice employment records.
· Build and maintain strong relationships with contractor members through responsive, professional, and solution-oriented service.
Compliance & Regulatory Administration
· Ensure compliance with IEC Dallas, Department of Labor (DOL), Texas Department of Licensing and Regulation (TDLR), and apprenticeship program requirements.
· Maintain apprenticeship records and documentation required for regulatory compliance.
· Process and monitor RAPIDS, AMPS, and other regulatory reporting systems as required.
· Manage wage agreements, transfer documentation, reassignment records, disability disclosure forms, and related compliance records.
· Track apprentice licensing requirements and monitor renewal compliance.
· Notify apprentices and employers regarding licensing deficiencies, expirations, or compliance concerns.
· Conduct routine audits of apprentice records to ensure completeness, accuracy, and compliance.
Data Management & Reporting
· Maintain a high level of accuracy in all apprentice records, databases, and reporting systems.
· Perform regular audits and reconciliations to ensure data integrity.
· Generate and distribute reports related to:
o Active apprentices
o Apprentice status changes
o Wage progressions
o OJT compliance
o Licensing compliance
o Retention
o Graduation projections
o Contractor participation
· Support workforce development, grant, and compliance reporting efforts as needed.
· Identify discrepancies and proactively resolve data issues.
· Maintain confidential apprentice and contractor information in accordance with organizational policies.
SafeSTART & Workforce Development Support
· Support the administration and tracking of SafeSTART participants transitioning into apprenticeship.
· Monitor contractor participation requirements and incentive eligibility.
· Track grant-funded benefits, tuition assistance, OJT incentives, and workforce development outcomes.
· Collect and maintain required grant and retention documentation.
· Assist with workforce development initiatives, orientations, career fairs, and special programs.
Administrative Support
· Respond to apprentice and contractor inquiries via phone, email, text, and in person.
· Support orientations, graduation activities, career fairs, and special events as assigned.
· Maintain electronic and physical records in accordance with organizational standards.
· Collaborate with internal departments to ensure seamless service delivery.
· Support departmental projects and initiatives as assigned.
QualificationsRequired
· Minimum three years of experience in administration, compliance, workforce development, education administration, student services, records management, or a related field.
· Demonstrated experience maintaining large databases with a high degree of accuracy.
· Advanced proficiency in Microsoft Excel, including data analysis, reporting, filtering, reconciliation, and record management.
· Strong aptitude for identifying discrepancies, resolving data issues, and maintaining compliance records.
· Exceptional organizational skills and attention to detail.
· Ability to manage multiple priorities while maintaining accuracy and deadlines.
· Excellent written and verbal communication skills.
· Strong customer service and relationship-building abilities.
Preferred
· Experience with apprenticeship programs, workforce development programs, or educational administration.
· Experience with Flashpoint, RAPIDS, AMPS, WorkHands, HubSpot, or similar database systems.
· Knowledge of DOL and TDLR apprenticeship requirements.
· Familiarity with the electrical, construction, or skilled trades industry.
· Bilingual English/Spanish.

· Occasional evening or weekend work may be required for orientations, career fairs, graduation events, and special programs.

Pay: $43,500.00 - $50,000.00 per year
