Full Job Description

Job Overview

We are seeking a highly skilled and proactive Facilities Coordinator to oversee and manage the maintenance, safety, and operational efficiency of our facilities. This pivotal role involves supervising maintenance teams, coordinating repair activities, and ensuring compliance with safety regulations. The ideal candidate will possess strong management abilities, technical expertise in mechanical and electrical systems, and a comprehensive understanding of facilities management practices. Your leadership will ensure our facilities operate smoothly, safely, and efficiently, supporting the organization’s overall objectives.

Responsibilities

The Facilities Coordinator supports the daily operations of the corporate office by coordinating facilities, managing vendors, handling purchasing and accounts payable, and providing general administrative support.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment while ensuring smooth workplace operations and accurate financial administration.
Facilities & Office Operations: Support daily office operations, conduct facility walkthroughs, manage supplies, uniforms, and assist with company events.
Inventory & Asset Tracking: Maintain fixed asset records and oversee inventory management.
Purchasing & Vendor Management: Build vendor relationships, obtain quotes, process purchase orders, verify invoices, and resolve billing discrepancies.
Accounts Payable: Process invoices in SAP, reconcile credit card statements, record accruals, and prepare month‑end reports.
Financial Documentation: Maintain organized, auditable procurement and financial records.
Administrative Support: Provide general office and administrative assistance across departments.
Compliance & Confidentiality: Ensure accuracy, confidentiality, and professionalism in all transactions.

MUST HAVE:

Should have a High School diploma or GED (bachelor's degree is highly preferred).
2+ yrs experience in Office Administration, Facilities, Purchasing, or AP.
Should be proficient in processing invoices and recording accruals, ideally using SAP or similar ERP systems.
Should have strong experience in purchasing, obtaining competitive quotes, and processing Purchase Orders (POs).
Should be capable of verifying invoices against receiving documents and resolving vendor billing discrepancies.
Should have experience reconciling corporate credit card statements and maintaining auditable financial records.
Should be able to track fixed assets, conduct facility walkthroughs, and coordinate employee uniform distribution.
Should be capable of occasionally lifting up to 20 pounds and standing/walking throughout the office

Shift Timing: 8:30AM-5:30PM

Weekly schedule: M-T

Pay: $22.00 - $25.00 per hour

Experience:

Office Administration, Facilities, Purchasing, or AP.: 2 years (Required)

License/Certification:

High School diploma or GED (Required)
