Located in Greater Boston, MassBay is a comprehensive, open-access community college, offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.
Position Summary:
The ideal candidate will join a vibrant educational community and have a desire and ability to serve a population of students with various needs and backgrounds.
This is a temporary part-time, non-unit position with no benefits. The Student Administrative & Program Support Assistant provides comprehensive administrative, student services, and program support for MassBay Community College’s Corporate Partnerships and Community Education programs. This role serves as a primary point of contact for students, instructors, and community members, helping to ensure smooth daily operations, exceptional customer service, and a welcoming learning environment. The position offers valuable experience in business operations, customer service, marketing, event coordination, and student success initiatives. The role is ideal for a business student seeking practical experience in organizational operations, customer relations, marketing, and program administration while contributing to student success and community engagement initiatives.
Key Responsibilities and Duties:
Student & Customer Support
Serve as the first point of contact at the front desk, assisting students, visitors, and community members with inquiries regarding programs, courses, registration, and services;

Provide information and guidance on course offerings, schedules, enrollment processes, and student resources;

Support student success by addressing questions and connecting students with appropriate college resources and staff;

Assist students with registration and enrollment activities;

Administrative & Operational Support;
-
Process course registrations and payments through CourseStorm;
-
Prepare and maintain student records, registration documentation, and program files;

Create certificates of completion for program participants;
-
Complete and process SNAP-related forms and supporting documentation as needed;
-
Make copies, prepare instructional materials, and provide general office support;
-
Monitor and maintain inventory of office supplies, program materials, and student refreshments;
-
Organize and restock supplies to ensure efficient office operations;
-
Program & Instructor Support
Support classroom instructors by assisting with student-related concerns and administrative needs;
-
Help foster a positive, inclusive, and community-focused learning environment;
-
Work closely with the Corporate Partnerships Data Administrator to support operational and data management needs;

Marketing & Outreach
Design and create flyers, promotional materials, and communications to market courses and programs;

Assist with student recruitment efforts and outreach initiatives;

Support social media, email campaigns, and other marketing activities as assigned;

Events & Community Engagement
Assist with planning, organizing, and supporting career fairs, workforce development events, student celebrations, and community engagement activities;

Help coordinate event logistics, registration, setup, and participant support;

Contribute to creating a welcoming and engaging atmosphere for students and community partners;

Collaboration & Special Projects
Collaborate with the Executive Director and Director to support student success initiatives, recruitment efforts, and registration activities;

Work effectively with faculty, staff, students, and community to achieve program goals;

Perform other duties and special projects as assigned.

Required Qualifications:
Associates Degree in Business, Communication or Marketing;

Strong customer service and interpersonal skills;

Excellent verbal and written communication abilities in English and Spanish or Portuguese;

Strong organizational skills and attention to detail;

Ability to manage multiple tasks and prioritize responsibilities effectively;

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);

Experience with data entry, registration systems, or CRM platforms is a plus;

Ability to work independently and collaboratively in a team environment;

Professional, friendly, and student-centered approach;

Salary Range: $27 - $28 per hour
