Full Job Description

Job Overview

This position is responsible for preparing, reviewing, and processing customer invoices accurately and in a timely manner. This position works closely with sales, customer service, shipping, and accounting to ensure billing accuracy, resolve discrepancies, and support efficient cash collection. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities while maintaining a high level of accuracy.

Total Compensation Package:

Base Salary - Dependent on experience

Monthly Incentive Bonuses

Year End Profit Sharing

Key Responsibilities

Generate and distribute customer invoices based on sales orders, contracts, and shipping documentation.
Review invoices for accuracy, including pricing, quantities, taxes, freight, and customer-specific billing requirements.
Process credits, debits, adjustments, and rebills as needed.
Research and resolve billing discrepancies by working with Sales, Customer Service, Shipping, and Finance.
Maintain accurate customer billing records and documentation.
Verify supporting documentation before invoice processing.
Respond to customer billing inquiries professionally and promptly.
Monitor invoice status and ensure timely delivery to customers.
Assist with accounts receivable by providing invoice support for collections.
Reconcile billing transactions and prepare reports as requested.
Maintain compliance with company policies and accounting procedures.
Support month-end and year-end closing activities related to billing.
Assist with special projects and process improvement initiatives.

Experience

Proven experience in accounting or finance roles with a focus on accounts receivable management and collections; experience in corporate accounting is highly desirable.
Strong knowledge of financial concepts including debits & credits, account analysis, account reconciliation, and double-entry bookkeeping.
Familiarity with various accounting systems such as GP or Netsuite
Demonstrated ability to handle collections and account management with professionalism and negotiation skills to ensure timely payments.
Excellent data entry skills including 10 key typing accuracy; proficiency in Excel data analysis and creating spreadsheets with formulas for detailed reporting.
Exceptional customer service skills with phone etiquette expertise; ability to communicate effectively with clients regarding billing inquiries or payment arrangements.

Education

High school diploma or equivalent required.
Associate degree in Accounting, Business, or Finance preferred.

Experience

2–4 years of billing, invoicing, accounts receivable, or accounting experience preferred.
Experience in a manufacturing, distribution, or industrial environment is a plus.
Experience with ERP systems (Microsoft Dynamics GP, SAP, Oracle, NetSuite, etc.) preferred.

Required Skills

Proficiency in Microsoft Excel and Microsoft Office.
Ability to analyze billing discrepancies and resolve issues efficiently.

Ability to maintain confidentiality of financial information.

Preferred Skills

Experience with electronic invoicing (EDI).
Knowledge of sales tax requirements.
Experience with document management systems.
Familiarity with freight billing and customer chargeback processes.
Continuous improvement mindset with experience identifying process efficiencies.

Physical Requirements

Ability to sit for extended periods while working at a computer.
Occasional lifting of files or office materials up to 20 pounds.
Ability to communicate effectively in person, by phone, and electronically.

Performance Expectations

The successful AR Analyst will:

Produce accurate invoices with minimal errors.
Meet established billing deadlines.
Resolve billing issues promptly.
Maintain organized and complete billing documentation.
Provide excellent internal and external customer service.
Keep AR Aging current and collect payments in timely manner.
Contribute to improving billing efficiency and accuracy.

Pay: $65,000.00 - $85,000.00 per year
