Research Coordinator (Health Science Specialist)

VA Boston Healthcare System

On-site (Full-time, in-person)

This position is based within VA Boston Healthcare System, a leading healthcare system in New England that serves as a major referral center and a hub for clinical research. The organization’s Boston-based bioinformatics center is seeking a Research Coordinator to support regulatory document preparation and submissions for a portfolio of research projects aimed at improving cancer care. The position offers the opportunity to participate in data-driven projects that inform clinical decision-making and enhance outcomes for diverse patient populations.

Under the supervision of Principal Investigators and senior administrative staff, the Research Coordinator will serve as the point of contact for regulatory documentation and submission for a portfolio of oncology research projects. This work supports a learning healthcare system in which insights from existing data directly guide the development, testing, and refinement of clinical decision support and care delivery strategies for older Veterans with cancer.

You will join a multidisciplinary team of clinicians, statisticians, and data scientists at a nationally recognized, Age‑Friendly academic VA health system affiliated with Harvard Medical School and Boston University School of Medicine. This role offers a unique opportunity to contribute to high‑impact research that translates real‑world evidence into improved, patient‑centered cancer care for older patients.

PRIMARY DUTIES:

Perform all aspects of regulatory-related work, including preparation and submission of the following:
new projects to the appropriate committees (e.g., local Research & Development Committee, Central IRB, Office of Research Reviews)
annual status report submissions, continuing reviews, protocol amendments, financial disclosure submissions, and timely reporting of protocol deviations and/or unanticipated events
study closure submissions
Accurately complete regulatory documentation and meet all submission deadlines
Assist with preparation of budgets, statements of work, data use agreements, contracts, deliverables and timelines, data access provisioning
Collaborate with the Principal Investigator (PI) and study team members
Establish and follow processes for regulatory documentation and submissions
Follow center standard operating procedures
Effectively communicate among PI, study team members, sponsor, auditors, and review committee members; keep the PI informed of progress and potential problems
Prepare and maintain study files, documents, and data for internal and external audits
Act as a primary contact and resource for the regulatory submissions for each study

MINIMUM QUALIFICATION:

MUST be a US Citizen and MUST clear a US government background check
BASIC EDUCATION REQUIREMENT: Applicants must possess a bachelor's or graduate/higher level degree with major study in an academic field related to the medical field, health sciences, or allied sciences appropriate to the work of the position. This degree must be from an educational program from an accrediting body recognized by the U.S. Department of Education at the time the degree was obtained.
EXPERIENCE: In addition to meeting the above requirement, applicants must have at least one (1) full year of specialized experience that equipped them with the knowledge, skills, and abilities to successfully perform the duties of this position with specialized experience that includes: coordinating or supporting multiple research or healthcare projects; facilitating communication among multidisciplinary teams and stakeholders; preparing project reports, presentations, and other written communications; supporting research data collection, tracking, and quality assurance activities; working with electronic medical record data, clinical databases, or other healthcare datasets; and assisting with research administrative and regulatory activities in accordance with applicable institutional policies and data privacy requirements.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE: Successful completion of one (1) full year of progressively higher-level graduate education with a major in a field appropriate to the work of this position to substitute for the one year of experience is fully qualifying for this position.

COMBINING EDUCATION AND EXPERIENCE: Combination of successful completed of a graduate education and experience may be used to meet total qualification requirements.

PREFERRED QUALIFICATIONS:

Understanding of regulatory submission processes for research activities within healthcare systems
Experience preparing and submitting research study submissions to regulatory bodies (e.g., IRB, R&D, etc.) in a clinical research or bioinformatics/data science setting
Experience preparing for and undergoing internal and external audits of clinical research documentation
Excellent written and verbal communication, attention to detail, and organizational skills are a must.
