Overview

We are seeking a dynamic and highly organized Administrative Coordinator to join our team! In this vital role, you will be the backbone of our office operations, ensuring seamless administrative support and exceptional customer service. Your proactive approach and attention to detail will help create an efficient, welcoming environment for colleagues, clients, and visitors alike. This paid position offers an exciting opportunity to develop your skills in office management and administrative support while contributing to a vibrant team dedicated to excellence.

Position Summary

The Assistant is responsible for supporting daily office operations, managing accounts payable and accounts receivable and the majority of shipping and receiving. This position requires someone who can comfortably transition between office duties and warehouse/shipping responsibilities.

Responsibilities

Process accounts payable and accounts receivable transactions.

Prepare and send customer invoices and statements.

Apply customer payments and assist with collections as needed.

Answer phones and assist customers professionally.

Prepare UPS, FedEx, and freight shipments.

Package and label outgoing orders accurately.

Taking phone/email sales orders and fulfilling them.

Assist with receiving and organizing incoming shipments.

Maintain filing systems and accurate records.

Support team members with special projects.

Maintain a clean and organized office, shipping and stock room.

Qualifications

Previous office, bookkeeping, or accounting experience preferred.

Experience with QuickBooks Online or similar accounting software is a plus.

Strong computer skills, including Microsoft Office.

Excellent communication and organizational skills.

Ability to multitask and work independently.

Strong attention to detail and accuracy.

Valid driver's license and reliable transportation.

Physical Requirements:

Must be able to lift up to 50 pounds on a regular basis.

Ability to stand, walk, bend, and move throughout the workday.

Ability to safely move boxes and shipping materials.
