The Client Service Associate is the operational heartbeat of our client experience.

Key Responsibilities

The Client Service Associate will support the Operations team and advisor team by owning day-to-day client service execution with accuracy, warmth, and follow-through.

Responsibilities include:

Processing account openings, distributions, transfers, and maintenance requests accurately and on time
Maintaining 24-hour responsiveness on client emails, calls, and service requests
Serving as a first point of contact for client needs
Managing proactive client touchpoints, including birthdays, life events, and planning check-ins
Identifying service gaps before they become client issues
Maintaining accurate client records in Wealthbox CRM
Logging, tracking, and documenting client activity in alignment with firm standards
Supporting financial planning workflows, insurance tracking, and broader operational execution
Partnering closely with the Operations Lead and advisor team to create a smooth, high-trust client experience

What Success Looks Like in Year One

In the first year, success in this role means:

Clients receive timely, accurate responses without having to follow up
Service requests are handled completely and correctly the first time
Clients feel proactively cared for, not just reactively served
The advisor team trusts you to own the client experience without constant oversight
CRM data and documentation are clean, current, and compliance-ready at all times

During the first 90 days, you will onboard into Legacy’s systems, Wealthbox CRM, StoneX compliance processes, and core service workflows. As you grow, you will begin owning day-to-day service execution, maintaining our 24-hour response standard, and building a proactive client outreach cadence.

Potential growth path includes:

Year 1: Client Service Associate
Own service execution, build client relationships, learn Legacy’s systems, and establish yourself as a steady operational voice.

Year 2: Client Relationship Manager
Expand into fuller ownership of the client experience, proactive relationship strategy, and support across broader operations functions.

Year 2–3: Senior Client Relationship Manager
Lead client experience initiatives, help build the firm’s client touchpoint playbook, mentor junior team members, and support more complex client situations.

Year 3+: Director of Operations
Step into broader operational leadership, team management, vendor coordination, SOP development, and strategic infrastructure as the firm continues to scale.

Experience & Qualifications

Ideal candidates will have:

Experience in client service, financial operations, administrative operations, or another client-facing role where relationships and accuracy both mattered
Strong attention to detail and follow-through
Ability to manage a high volume of tasks without dropping the ball
Clear, warm, and professional written communication skills
Confidence speaking with clients by phone
A calm, steady presence in a fast-moving environment
CRM experience preferred; Wealthbox experience is a plus
Series 7 or Series 66 licenses are not required, but are a plus
Financial services or wealth management experience is helpful, but not required for the right person

Compensation & Benefits

Starting base salary: $60,000–$72,000, depending on experience
