Full Job Description

Position Summary

The WIOA MIS Assistant provides administrative and data management support to the Management Information Systems (MIS) Department for Workforce Innovation and Opportunity Act (WIOA) programs. This position is responsible for ensuring the accuracy, completeness, and integrity of participant data, assisting with compliance and reporting activities, maintaining electronic records, and supporting workforce program staff with data-related processes.

The ideal candidate is highly organized, detail-oriented, proficient with databases and Microsoft Office applications, and committed to maintaining confidentiality while supporting federal and state workforce reporting requirements

Essential Functions

Data Management

Enter, update, and maintain participant records in the WIOA case management system.
Verify the accuracy and completeness of participant information and supporting documentation.
Scan, upload, and organize electronic records in accordance with agency policies.
Maintain organized electronic and physical files as required.

Data Quality and Compliance

Review participant records for completeness and identify missing or inconsistent information.
Perform routine data quality checks and validation activities.
Communicate with program staff to resolve data discrepancies.
Assist in preparing files and documentation for state and federal monitoring, audits, and compliance reviews.
Maintain confidentiality of participant information in accordance with federal, state, and agency requirements.

Reporting Support

Generate routine reports for management and program staff.
Assist in compiling monthly, quarterly, and annual performance reports.
Maintain spreadsheets and tracking logs to monitor participant activity and program performance.
Support MIS staff with data collection and reporting projects.

Administrative Support

Respond to internal requests regarding participant records and data entry.
Maintain departmental filing systems and documentation.
Prepare correspondence, forms, and reports.
Assist with scheduling meetings, trainings, and departmental projects.
Perform other administrative duties as assigned.

System Support

Provide basic assistance to staff regarding data entry procedures and system navigation.
Report technical issues to MIS staff or Information Technology personnel.
Assist with user testing during system updates or enhancements.

The above requirements are representative of minimum knowledge, skills, and abilities. To perform this job successfully, the individual will possess the ability and aptitude to perform each duty proficiently.

Educational and Other Requirements

· High school diploma or GED required.

· Associate degree preferred.

· One (1) year of experience in administrative support, data entry, records management, or office administration preferred.

· Experience working with workforce development, human services, government programs, or grant-funded programs is a plus.

· Familiarity with WIOA regulations and workforce development programs preferred.

· Experience using case management or database software is preferred.

· Knowledge of data validation and reporting procedures preferred.

Physical Requirements

This position is performed primarily in an office environment and requires prolonged periods of sitting and working at a computer. The employee must be able to communicate effectively in person, by telephone, and through electronic means, and must occasionally be able to lift and carry up to 25 pounds. Pay: $21.00 - $24.00 per hour
