About the Role
We’re seeking a highly organized, detail-oriented Sales Support Specialist to work alongside our Sales team. You’ll be the backbone of order processing, quote management, and customer account support. You will help streamline operations and ensure our team delivers with speed and accuracy.

This is a critical operational role, ideal for someone who thrives on clarity, precision, and cross-functional teamwork.

Responsibilities

Support Sales Reps by entering quotes and sales orders with full accuracy and context
Create and maintain customer accounts, contacts, and job opportunities in our CRM
Verify documentation (POs, tax exemptions, fabrication prints, vendor quotes, etc.) before order processing
Track and manage leads, ensuring correct job names and values per project documentation
Prevent errors by checking for duplicate quotes, leads, and opportunities
Organize and update inventory items and vendor pricing in coordination with the Sales team
Support quote creation via email chains and opportunity entries
Assist with occasional logistical or project-related tasks (e.g. job site assistance coordination)

Skills & Attributes

Exceptionally detail-oriented and organized
Clear and direct communicator, especially via email
Comfortable following SOPs and asking clarifying questions
Able to manage multiple tasks and follow through reliably
Fast learner who’s driven to improve systems and processes
Humble, accountable, and works well in a team-oriented culture

Preferred Qualifications

Familiarity with construction or commercial HVAC industries is a must
Experience with CRM or order management systems
Proficient with Microsoft Office (Outlook, Word, Excel)
Ability to read construction specifications/drawings is a bonus, not required
