The Bookkeeper/Payroll Secretary ensures accurate accounting records for receipts and disbursements as well as payroll tracking within an assigned school or office. The Bookkeeper/Payroll Secretary provides secretarial support in an office environment. As a member of the school’s administrative support team, this role may also assist with any projects or tasks related to the goals, objectives and programs of the building or department assigned.
Essential Job Functions:

Receives and screens visitors, staff members, telephone calls and incoming mail, personally responds to inquiries by making decisions which in the employee’s judgment do not require the supervisor’s attention.

Organizes the flow of correspondence and other pertinent data, establishes and maintains a filing system that provides for the efficient operation of the department while maintaining confidentiality.

Prepares, produces and makes appropriate distribution of all correspondence, including letters, memoranda; reports, recommendations, notices, orders, requests, schedules, etc and any other necessary informational items.

Prepares necessary informational materials for the department for which they are assigned, i.e. assigning and completing necessary paperwork for substitute teachers, scheduling bus drivers for field trips.

Aids with registration procedures for new students.

Establishes and coordinates the efficient operation of the office receipts and disbursement of funds in accordance with budget allocations.

Maintains complete records of all financial transactions.

Prepares monthly bank reconciliation for the Accounting Department.

Education and Experience:
Required

High School Diploma or GED
-
Three (3) years of experience in an administrative role, ideally within the Education industry
Preferred
-
Associate’s Degree in Accounting, Business Administration or related field

Employment Terms: Employment may be offered as a 12-Month (243 Day) contract, at a minimum of 7.5 hours worked per day. This position is evaluated annually.
