We are hiring for a Medical Assistant Receptionist 3 at Middlesex Monmouth Gastroenterology in Freehold, NJ

About the Role:

The Medical Receptionist 3 plays a critical role in ensuring the smooth and efficient operation of a healthcare facility's front desk and patient intake processes. This position is responsible for managing patient appointments, handling inquiries, and maintaining accurate patient records with a high degree of confidentiality and professionalism. The role requires effective communication with patients, healthcare providers, and administrative staff to facilitate seamless coordination of care. The Medical Receptionist 3 also supports billing and insurance verification processes, contributing to the financial accuracy and compliance of the practice. Ultimately, this position serves as the first point of contact for patients, setting a welcoming and organized tone that enhances the overall patient experience.

Responsibilities:

Greet and check in patients promptly and courteously, verifying personal and insurance information.
Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
Answer incoming calls and respond to patient inquiries regarding services, appointments, and billing.
Maintain and update patient records accurately, ensuring compliance with HIPAA and other privacy regulations.
Coordinate with medical staff to communicate patient arrivals and manage patient flow efficiently.
Process patient payments, co-pays, and assist with insurance verification and pre-authorizations.
Prepare and distribute patient intake forms and ensure completion prior to appointments.
Handle administrative tasks such as filing, faxing, and managing correspondence related to patient care.

The Medical Receptionist 3 utilizes strong organizational skills daily to manage multiple patient appointments and administrative tasks efficiently. Effective communication skills are essential for interacting with patients, healthcare providers, and insurance representatives, ensuring clarity and professionalism in all exchanges. Proficiency with EHR systems and office software enables accurate data entry, scheduling, and record-keeping, which are critical for maintaining compliance and operational flow. Problem-solving skills help address scheduling conflicts, patient concerns, and billing inquiries promptly and effectively. Additionally, attention to detail and confidentiality are paramount in handling sensitive patient information and adhering to healthcare regulations.

Minimum Qualifications:

High school diploma or equivalent.
At least 1 year of experience in a medical receptionist or front desk role within a healthcare setting or related field.
Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office).
Strong knowledge of medical terminology and healthcare administrative procedures.
Excellent communication and interpersonal skills with a professional demeanor.

Preferred Qualifications:

Certification as a Medical Administrative Assistant (CMAA) or equivalent.
Experience with insurance billing and verification processes.
Familiarity with HIPAA regulations and patient privacy standards.
Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
Additional training or coursework in healthcare administration or customer service.
