OFFICE MANAGER

Location: Lakewood, New Jersey

ABOUT US

We are a growing multifamily owner/operator managing a portfolio of apartment communities. Unlike traditional management companies, we utilize a centralized operations team, including a remote administrative department, which allows our on-site leadership to focus on people, performance, and the resident experience.

We're looking for an experienced, hands-on Office Manager to oversee the day-to-day operations of a single apartment community. This role leads key functions including leasing, renewals, collections, maintenance coordination, Section 8 administration, and team leadership while ensuring operational efficiency, accountability, and an exceptional resident experience. The ideal candidate is an organized leader who can manage multiple priorities, improve processes, monitor performance, and drive results.

KEY RESPONSIBILITIES

Leasing & Occupancy

Supervise all leasing agents and leasing coordinators.
Ensure all new leads are responded to promptly.
Monitor lead conversion and leasing performance.
Verify that every prospect is properly followed up with.
Review and approve rental applications.
Ensure applicant screening is completed accurately.
Monitor occupancy goals and leasing metrics.
Ensure all property listings and websites remain current and accurate.

Lease Renewals

Ensure lease renewal offers are sent on time.
Verify renewal pricing before offers are sent.
Monitor renewal completion rates.
Ensure all executed renewals are properly processed.
Coordinate renewal notices with Section 8 when applicable.

Section 8 Administration

Ensure all required Section 8 paperwork is submitted on time.
Coordinate rent increase requests and renewal documentation.
Follow up with housing authorities until approvals are received.
Maintain compliance with all Section 8 requirements.

Delinquency & Collections

Oversee all delinquent tenant accounts.
Ensure collection procedures are followed consistently.
Monitor payment arrangements.
Coordinate with attorneys on eviction filings.
Track eviction timelines and legal status.
Ensure all collection activities are completed promptly.

Maintenance Operations

Supervise maintenance coordinators.
Monitor incoming work orders.
Ensure work orders are dispatched promptly.
Coordinate technician schedules.
Monitor completion times.
Ensure residents receive timely communication regarding repairs.
Review maintenance performance metrics.

Call Center Oversight

Supervise call center representatives.
Monitor call quality and response times.
Ensure all resident inquiries are handled professionally.
Improve customer service standards.
Track call center performance metrics.

Insurance Administration

Coordinate insurance renewals.
Obtain competitive insurance bids.
Track policy expiration dates.
Ensure required documentation is received and filed.

Team Leadership

Supervise and mentor Virtual Assistants.
Conduct regular performance reviews.
Train new employees.
Develop and improve Standard Operating Procedures (SOPs).
Monitor employee productivity and accountability.
Ensure deadlines are consistently met.

Operations & Quality Control

Review daily operational reports.
Audit work for accuracy and completeness.
Identify operational inefficiencies and implement improvements.
Ensure company policies and procedures are followed.
Escalate issues requiring management attention.
Create systems that improve workflow and accountability.

QUALIFICATIONS

5+ years of operations, office management, or property management experience.
Experience managing remote or virtual teams.
Strong leadership and organizational skills.
Excellent English communication skills (written and verbal).
Experience with multifamily property management preferred.
Familiarity with leasing, maintenance coordination, collections, and Section 8 programs is highly preferred.
Strong analytical and problem-solving abilities.
Ability to manage multiple departments simultaneously.
High attention to detail and strong follow-through.

Success in This Role

The ideal candidate will:

Keep occupancy high through strong leasing oversight.
Reduce delinquency through consistent follow-up.
Ensure maintenance requests are completed quickly.
Maintain accurate records and compliance.

Lead the Philippines office with professionalism, urgency, and a culture of accountability.

Pay: $70,000.00 - $80,000.00 per year
