Full Job Description

Work Location: This is a full-time, in-office position located in Freeport, Illinois. This role is not eligible for remote or hybrid work.

Overview

Integrity Financial Services is looking for an organized, detail-oriented Office Administrator to join our growing team. This is a key role within our office, serving as the hub that keeps our daily operations running smoothly while supporting our financial planners and delivering an exceptional experience for our clients.

We're looking for someone who takes pride in staying organized, enjoys creating efficient systems, has a genuine desire to help people, and is excited to learn and grow in the financial planning profession. Responsibilities

Serve as the first point of contact for clients by greeting visitors, answering a multi-line phone system, and creating a welcoming office environment.
Manage advisor calendars, schedule client meetings, and coordinate day-to-day office operations.
Maintain accurate client records by proofreading documents, organizing files, and entering data with exceptional attention to detail.
Utilize our CRM, Microsoft Office, Google Workspace, Canva, and custodian platforms to prepare for client meetings, document interactions, and complete follow-up tasks.
Prepare client paperwork and other supporting documents as needed.
Coordinate quarterly client appreciation events using established workflows and processes.
Help improve and maintain office procedures to keep operations efficient and consistent.
Deliver an exceptional client experience through proactive communication and genuine hospitality.

Qualifications

Previous experience in an administrative or office support role.
Strong organizational skills with the ability to prioritize multiple projects and deadlines.
Excellent written and verbal communication skills, including professional phone etiquette.
Proficiency with Microsoft Office (Word and Excel), Google Workspace, and the ability to quickly learn new software systems.
High level of accuracy and attention to detail when handling documents and client information.
A self-starter who takes initiative, enjoys learning, and works well independently and as part of a team.
Customer service or front desk experience is a plus.
