About the Position
We are seeking a Transportation & Operations Coordinator to support the daily transportation and delivery operations of our rebar fabrication business. This position will coordinate deliveries from our company-owned fleet as well as outsourced transportation providers, while keeping our fabrication team, project teams, drivers, and customers informed throughout the process.
The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple moving parts at the same time. This is a hands-on coordination position where communication, follow-through, and problem-solving are critical.
Experience in transportation, construction, steel/rebar, trucking, fleet operations, or dispatching is preferred, but we are willing to train the right candidate who has strong organizational and communication skills.
Key Responsibilities
Transportation & Delivery Coordination
- Coordinate and schedule deliveries using our company-owned trucks and drivers.
- Coordinate deliveries with outsourced trucking and transportation providers.
- Maintain and update delivery schedules as project requirements change.
- Communicate delivery schedules and changes to the fabrication team, project management, customers, and drivers.
- Monitor deliveries to ensure material arrives when and where it is needed.
- Identify scheduling conflicts and proactively communicate solutions.
- Coordinate with customers regarding delivery requirements, site conditions, delivery windows, and special instructions.
- Maintain accurate records of deliveries, carriers, drivers, and transportation costs.
Outside Transportation / Carrier Management
- Obtain and compare transportation rates when outside trucking is required.
- Identify the best combination of cost, availability, reliability, and delivery requirements.
- Develop and maintain relationships with reliable outside trucking providers.
- Verify that outsourced carriers have the appropriate information and documentation before being scheduled.
- Help negotiate transportation rates and identify opportunities to reduce freight costs.
Fleet & Trailer Coordination
- Help monitor the condition and availability of company trucks and trailers.
- Coordinate routine maintenance, inspections, repairs, and service appointments.
- Maintain accurate maintenance and service records for trucks and trailers.
- Track upcoming maintenance, inspections, registrations, and other fleet requirements.
- Communicate mechanical or equipment issues to management and help coordinate repairs.
- Basic mechanical knowledge of trucks and trailers is a plus.
DOT / Compliance Coordination
- Serve as the primary internal point of contact for information requested by our outsourced DOT compliance provider.
- Gather and submit driver, vehicle, inspection, maintenance, and other required documentation.
- Maintain organized records needed for DOT compliance.
- Monitor requests from our compliance provider and ensure information is submitted accurately and on time.
- Help maintain compliance-related records for company vehicles and drivers.
Internal & Customer Communication
- Keep fabrication management and production personnel informed of upcoming deliveries and changes.
- Communicate with project managers and customers regarding delivery schedules.
- Work closely with the fabrication team to ensure material is ready when transportation arrives.
- Provide timely updates when delays, scheduling changes, equipment problems, or other issues arise.
- Take ownership of problems and work toward solutions rather than simply passing issues along.
Qualifications
- 2+ years of experience in transportation, operations, dispatching, construction, fleet coordination, or a similar field preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple deliveries, drivers, projects, and priorities simultaneously.
- Comfortable communicating with drivers, customers, vendors, and internal management.
- Strong attention to detail and ability to maintain accurate records.
- Proficient with Microsoft Office, Google Workspace, or similar software.
- Ability to work independently and make sound decisions.
- Ability to work in a fast-paced construction/manufacturing environment.
- Transportation, trucking, DOT, fleet, or construction experience is a plus.
- Basic knowledge of truck and trailer maintenance is a plus.

This position is not simply about updating a schedule or answering phone calls. The successful candidate will actively monitor what is happening, identify problems before they become bigger issues, communicate with the people who need to know, and find solutions.
You should be comfortable asking questions, following up with people, negotiating with vendors, and keeping multiple departments moving in the same direction.
Experience with CDL drivers, DOT requirements, trucking, fleet maintenance, construction deliveries, or steel/rebar is highly desirable.
