Job Summary

We are seeking a dynamic and highly organized Office Operations Manager to oversee the daily functions of our office environment. This pivotal role involves managing administrative processes, coordinating vendor relationships, supervising staff, and ensuring seamless office operations. The ideal candidate will thrive in a fast-paced setting, demonstrating exceptional organizational skills, strong communication abilities, and a proactive approach to problem-solving. By maintaining efficient workflows and fostering a positive work atmosphere, you will contribute significantly to the overall productivity and success of our team.

Key Responsibilities

QuickBooks Management: Handle all invoicing, accounts receivable, payments, accounts payable, and basic payroll processing.
Scheduling: Coordinate and dispatch route service calls, cleanings, and repair appointments for field techs.
Customer Service: Answer client calls, reply to emails, and resolve billing or service questions.
Inventory: Order office supplies, chemicals, or standard replacement parts as requested.
Record Keeping: Maintain customer database files, service logs, and financial records.

Qualifications & Skills

Must have 1 to 2 years of hands-on QuickBooks experience.
Must have knowledge of pool industry operations or route-based service business is a plus.
Strong computer skills.
Clear and friendly verbal and written communication skills.
Proven experience in office management or administrative roles with supervisory responsibilities.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and spreadsheets for data analysis and reporting.
Familiarity with accounting and finance software such as QuickBooks; experience with bookkeeping and budgeting is essential.
Excellent organizational skills with the ability to manage multiple priorities simultaneously.
Effective communication skills—both verbal and written—to liaise confidently with team members, vendors, and customers.
Demonstrated ability to handle confidential information responsibly with integrity.
Strong team management skills coupled with clerical experience in a fast-paced environment.
Exceptional customer service orientation with professional phone etiquette and client communication skills.
