School Clerical Job Description- Shirland CC School District #134

General Summary

A school clerical position involves providing administrative and office support within the school setting. Responsibilities include managing student attendance and records, handling inquiries from parents and students, operating office equipment, answering phone calls, assisting teachers and administrators with various tasks to ensure the smooth daily operation of the school, as well as other duties assigned by the Superintendent and Principal from time to time.

Essential Functions

1. Managing and maintaining student records 2. Responding to inquiries from students and parents 3. Contacting parents regarding attendance and student matters 4. Serving as a receptionist, answering phones and ensuring visitors sign in 5. Distributing mail and student transportation forms 6. Updating data reports and student information 7. Operating office equipment 8. Maintaining confidentiality of sensitive student information 9. Supporting with educational scheduling

Required Skills, Knowledge, and Ability

SKILLS are required to maintain and file student records, interact with the following: students, parents, teachers, and administrators; work efficiently with computers and office software, provide record-keeping tasks, and handle sensitive student information properly. Individuals will need to perform additional duties as assigned by the Superintendent and Principal from time to time.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percent’s, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and analyze situations to define issues and draw conclusions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; English grammar/punctuation/ spelling/vocabulary; office equipment/software; and office practices. ABILITY is required to schedule activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is moderate. Specific ability-based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy.

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing. This job is performed in a generally clean and healthy environment.

Minimum Qualifications

1, High school diploma or equivalent. 2. Prior office experience is preferred. 3. Demonstrate excellent secretarial skills, including at least 50 words per minute at the keyboard with a minimum of errors, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.4. Be proficient in the use of Microsoft Office or an equivalent computer program. 5. Demonstrate the ability to communicate effectively in English, both orally and in writing, using proper grammar and vocabulary. 6. Demonstrate appropriate telephone etiquette, with proper voice inflection. 7. Have excellent integrity and demonstrate good moral character and initiative. 8. Exhibit a personality that demonstrates enthusiasm and interpersonal skills to relate well with students, staff, administration, parents and the community, including difficult and emotional situations. Clearances Criminal justice fingerprint and background check.

Reporting Relationships Reports to Superintendent-Principal.

Pay Range

The salary range for this position is $15-$17 dollars per hour, based on prior experience.

Pay: $15.00 - $17.00 per hour
