Operations Manager

Purdy Powers & Company – Portland, Maine

Purdy Powers & Company is a premier accounting, tax, and business advisory firm serving mid-size companies, as well as individuals with sophisticated tax lives throughout Maine and beyond. Our mission is to help clients reach their full potential by delivering services that drive meaningful results.

We are seeking a proactive, detail-oriented Operations Manager to support the efficient management of internal Firm operations. This full-time, on-site role is responsible for supporting administrative processes, technology systems, compliance workflows, vendor relationships, office staff, and cross-departmental operational needs.

The ideal candidate is a practical problem-solver who thrives in a fast-paced professional services environment with evolving day-to-day priorities. This role requires sound judgment, strong communication skills, comfort working with technology systems, and the ability to balance day-to-day operational needs with longer-term process improvement initiatives.

Key Responsibilities

Oversee daily Firm operations and administrative functions, ensuring consistency, efficiency, and a high standard of service delivery across departments
Manage and support office staff, including scheduling, onboarding support, performance coordination, day-to-day team leadership, and related administrative matters
Develop, document, and continuously improve internal processes, workflows, and standard operating procedures
Serve as a primary point of contact for IT systems, practice management software, and technology vendors, including coordination of upgrades, troubleshooting, user support, and system-related process improvements
Support vendor management activities, including communication, service coordination, issue resolution, and evaluation of vendor performance
Monitor and respond to time-sensitive operational matters, including system issues, vendor service disruptions, workflow interruptions, or other matters that may impact employee productivity or Firm operations
Coordinate compliance-related activities to support alignment with regulatory standards, professional requirements, Firm policies, and industry best practices
Identify operational bottlenecks, evaluate root causes, and recommend or implement practical, data-informed solutions
Collaborate with Firm partners and leadership to support strategic planning, growth initiatives, special projects, and the overall client service experience
Maintain accurate records, documentation, and internal resources while exercising sound judgment and discretion with sensitive employee, financial, client, and Firm information

Qualifications

The ideal candidate will bring:

Bachelor’s degree in Business Administration, Accounting, Finance, or a closely related field required
3–6 years of progressive experience in operations management, office management, administrative leadership, or a related role required
Background or prior experience in accounting, finance, or a professional services environment strongly preferred
Experience managing administrative processes, internal workflows, vendor relationships, technology systems, compliance-related activities, or similar operational functions preferred
Comfort working with technology systems, troubleshooting routine issues, coordinating with vendors, and supporting employees through system or process changes
Experience supervising, leading, or coordinating the work of office or administrative staff preferred
Demonstrated ability to develop, document, and improve processes, workflows, and standard operating procedures
Strong analytical, organizational, and problem-solving skills, with the ability to use sound judgment, prioritize competing demands, and follow through without close supervision
Excellent verbal and written communication skills, with the ability to interact professionally and effectively with Firm leadership, employees, vendors, and other stakeholders
High level of professionalism, discretion, confidentiality, accuracy, and commitment to high-quality work
Relevant operations, project management, technology, accounting, finance, or professional services certification is a plus
