Full Job Description

About the Role

We are seeking a detail-oriented and proactive Finance Assistant to support the daily finance and accounting operations of our U.S. office. This role will assist with accounts payable/receivable, expense processing, financial record-keeping, and recording inventory in/out transactions and stock counts (physical counting is handled by warehouse staff), while also providing general administrative support.

This is a great opportunity for someone early in their finance career: our team will provide hands-on training and mentorship on payroll processing, benefits administration, and other finance operations. The ideal candidate is bilingual in English and Mandarin, detail-oriented, eager to learn, and comfortable collaborating with colleagues across different time zones.

Key Responsibilities

Finance & Accounting Support

Process invoices, expense reimbursements, and vendor payments.
Assist with Accounts Payable (AP) and Accounts Receivable (AR) activities.
Support payroll processing with external payroll providers — full training and mentorship provided.
Help maintain records for employee benefits and insurance programs (medical, dental, vision, workers' compensation, and other business insurance).
Assist with budgeting, expense tracking, financial reporting, and monthly close activities.
Support coordination with external CPA firms, accounting firms, auditors, and tax advisors.
Maintain accurate and organized financial documentation and records.

Inventory & Warehouse Support

Record inbound and outbound inventory quantities based on counts provided by warehouse staff (physical counting is not required).
Help track inventory levels and maintain accurate inventory records.
Support basic shipping and receiving documentation and recordkeeping.
Assist with inventory reconciliation and asset tracking.

Office Administration & HR Support

Provide general administrative support for day-to-day office operations.
Help coordinate office supplies, vendors, and equipment maintenance.
Assist with new hire onboarding paperwork and personnel file maintenance.
Support meeting coordination, travel arrangements, and visitor reception as needed.
Liaise with vendors, insurance brokers, payroll providers, and other external parties under guidance from management.

Cross-functional Support

Coordinate with headquarters in China on finance, HR, and administrative matters.
Assist executives and managers with administrative and operational projects.
Provide support outside normal business hours when necessary to accommodate collaboration across global time zones.

Qualifications

Required

Bachelor's degree or equivalent experience; no extensive finance/accounting background required.
Basic understanding of accounting concepts (e.g., through coursework, an internship, or general office/admin experience) — hands-on training will be provided.
Strong attention to detail and accuracy in handling financial data.
Willingness and eagerness to learn payroll administration, benefits administration, and other finance functions — mentorship will be provided.
Good organizational skills and ability to manage multiple tasks.
Proficiency with Microsoft Office / Google Workspace (especially Excel/Sheets).
Fluent in both English and Mandarin Chinese (written and spoken) — required for daily communication with headquarters and local team.
Willingness to work flexible hours when needed to support global teams across different time zones.

Preferred

Prior exposure to payroll software (e.g., ADP, Gusto, TriNet) or a strong interest in learning payroll.
Familiarity with QuickBooks, NetSuite, or similar accounting/ERP systems.
Experience with basic inventory or warehouse recordkeeping.
Experience working in an international or multinational company.
Interest in pursuing further accounting/finance credentials (e.g., working toward a CPA).
Experience in technology, IoT, SaaS, or consumer electronics industries is a plus.
