Position Summary
The Executive Assistant & Showroom Manager is a highly proactive partner to the CEO and a welcoming ambassador for CORE Business Interiors. This role anticipates the CEO's daily needs, protects her time, keeps priorities moving, and ensures she is prepared for meetings, decisions, correspondence, travel, and events. The position also manages reception, showroom hospitality, and shared office spaces, creating a polished experience for customers, vendors, employees, and visitors.
Key Responsibilities
Executive Support to the CEO
- Anticipate needs and act early. Identify scheduling conflicts, missing information, deadlines, and next steps; recommend solutions and follow through without repeated prompting.
- Manage the CEO's calendar and daily preparation. Prioritize meetings, calls, travel and focus time; coordinate agendas, briefing materials, links, directions, and participant information.
- Manage correspondence and follow-through. Draft and proofread emails, letters, reports and presentations; take accurate meeting notes, distribute action items, and track commitments through completion.
- Coordinate travel, meetings, and events. Arrange transportation, lodging, itineraries, training travel, company events, logistics, contingencies, and expense documentation.
- Protect confidentiality and exercise sound judgment with sensitive business, personnel, financial, client, and personal information.
Reception, Showroom & Client Hospitality
- Provide a friendly, professional first impression for customers, vendors, candidates, callers, and visitors; greet guests, offer refreshments, announce arrivals, and connect them with the appropriate team member.
- Answer, screen, route, and document calls accurately while protecting the executive team from unnecessary interruptions.
- Keep the showroom, reception area, meeting rooms, and customer-facing spaces clean, organized, inviting, and ready for visitors throughout the day.
- Support the sales team by scheduling customer and vendor meetings, preparing spaces, coordinating refreshments and materials, and arranging Lunch & Learns and presentations.
Office & Workplace Coordination
- Maintain clean, organized, and welcoming shared spaces, including the kitchen, refreshment center, conference rooms, reception area, and storage areas; promptly reset rooms after meetings.
- Monitor and replenish office supplies, paper goods, business cards, beverages, snacks, and other workplace essentials; place cost-conscious orders and maintain organized inventory.
- Manage mail, deliveries, filing, company calendars, phone lists, and front-office records; coordinate new-hire workspace readiness and approved computer, telephone, and system-access requests.
- Coordinate office vendors and service providers, schedule visits, communicate needs clearly, and follow through until requests are resolved.
Leadership Team & Communications Support
- Support other executive leaders as requested while keeping the CEO's priorities first; assist with special projects, research, internal communications, events, and time-sensitive needs.
- Propose creative, practical ideas that improve office organization, hospitality, communication, employee experience, and daily efficiency.
Required Qualifications
- Three or more years of executive, senior administrative, office management, hospitality, or comparable support experience; experience supporting a CEO, owner, or multiple executives is preferred.
- Proven ability to anticipate needs, manage competing priorities, exercise sound judgment, and independently complete work in a fast-paced environment.
- Exceptional organization, attention to detail, follow-through, proofreading, and written and verbal communication skills.
- Professional, friendly, and enthusiastic presence with a service mindset and confidence interacting with executives, customers, vendors, and employees.
- Maturity, discretion, integrity, resourcefulness, adaptability, and calm problem-solving under changing priorities.
- Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and scheduling, travel, and collaboration tools; ability to learn CORE's systems quickly.

Physical & Work Environment
This is a full-time, non-exempt, on-site, customer-facing position requiring regular movement throughout the office and showroom, frequent computer and telephone use, and routine light office tasks such as organizing supplies and preparing meeting spaces.
